As our business continues to grow and we expand our product portfolio, we are seeking an efficient and detail-oriented Administration Assistant to support our daily operations. Job Overview: We are looking for a highly organised and proactive Administration Assistant to handle a variety of administrative tasks. The ideal candidate will be responsible for processing customer orders, coordinating sample distribution, arranging overseas shipments, and providing general administrative support to ensure the smooth running of our office. Key Responsibilities: Order Processing & Customer Support: Process customer orders accurately and efficiently, ensuring all details are correctly recorded. Liaise with customers regarding order status, delivery timelines, and any inquiries. Maintain an up-to-date database of orders, stock levels, and shipments. Picking, Packing & Sample Distribution: Prepare and dispatch wallpaper samples and wallpaper pattern books to customers, stockists, and press contacts. Ensure all sample requests are fulfilled promptly and correctly. Keep track of sample stock levels and reorder as necessary. Logistics & Overseas Shipments: Coordinate national and international shipments, ensuring all paperwork is completed accurately. Liaise with couriers and freight companies to organise timely deliveries. Track shipments and resolve any delivery issues or delays. Office Administration: Manage incoming and outgoing emails, responding to queries in a professional and timely manner. Maintain accurate records, filing systems, and order logs. Assist with invoicing, purchase orders, and financial record-keeping. Support the Directors with general administrative tasks as required. Keep office supplies stocked and organised. Requirements & Skills: Previous experience in an administrative role, preferably within a creative or retail environment. Strong organisational skills and attention to detail. Ability to multitask and work independently in a fast-paced setting. Excellent communication skills, both written and verbal. Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with order processing software. A proactive and problem-solving attitude.
