Import/Export Administrator

Having been established for over 100 years, a leading export manufacturing business based in the heart of Gloucestershire is now search for an Import/Export Administrator.
They are seeking a detail-oriented and proactive Import/Export Administrator to manage and coordinate the documentation and logistics for international shipments. This role is pivotal in ensuring smooth operations across the supply chain, maintaining compliance with global trade regulations, and delivering excellent service to both internal teams and external customers.
Key Responsibilities:
1. Documentation & Compliance
Prepare and process all import/export documentation including invoices, packing lists, bills of lading, certificates of origin, customs declarations, and shipping instructions.
Ensure compliance with international trade laws, customs regulations, and company policies.
Maintain accurate records for audits and regulatory purposes.
2. Freight & Logistics Coordination
Liaise with freight forwarders, carriers, and customs brokers to book shipments, monitor transit, and resolve shipping delays or issues.
Obtain and review freight quotes, ensuring cost-effective and timely transportation of goods.
Track and update shipment statuses, providing regular updates to relevant stakeholders.
3. Internal Communication
Work closely with internal departments such as Sales, Purchasing, Warehouse, and Finance to align shipping schedules and documentation.
Coordinate with production and inventory teams to confirm goods availability and readiness for dispatch.
4. Customer Communication & Service
Communicate directly with customers to confirm shipment details, provide documentation, and handle queries or complaints related to delivery.
Ensure accurate and timely dissemination of shipment information to customers.
5. Continuous Improvement
Identify and suggest improvements to streamline shipping processes, reduce costs, and increase efficiency.
Stay updated on changes in trade regulations and logistics best practices.
Skills & Qualifications:
Proven experience in import/export administration, logistics, or international trade.
Strong knowledge of customs procedures, Incoterms, and international shipping documentation.
Excellent organizational skills and attention to detail.
Effective communication and interpersonal skills.
Ability to work independently and manage multiple priorities under tight deadlines.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and ERP/logistics systems.
Knowledge of HMRC procedures and US Customs, and local customs regulations as relevant to end destination.
Desirable
Formal recognised qualifications gained in import/export processes
Working knowledge of Sage 200 and integration with third party EDI systems
