Rubicon Consulting is currently recruiting for Project Administrator on a 12 Month Rolling Contract based in Inverness. Role Summary Reporting directly to the management team, the Site Admin provides a wide range of administrative and executive support and facilitates agenda, travel, communications, engagement, and related items. Executes administrative tasks to increase efficiency and collaboration across various teams and activities within the team. Crucial to this role is the ability to interact with employees (at all levels) in a fast-paced construction environment, remaining flexible, resourceful, and efficient, with a high level of professionalism and confidentiality. The Project Site Admin will have the ability to work independently on projects and must be able to handle a wide variety of activities and confidential matters with discretion. Job Description · Complex calendar management and administrative tasks as assigned. · Managing and balancing conflicting priorities professionally and efficiently. · Scheduling and planning internal and external meetings in their entirety. · Coordination and support of departmental initiatives. · Engagement events planning and coordination · Proactively coordinate teams’ day to day and overall agenda & schedule. · Plan, schedule and organize business meetings. · Execute all process related tasks & coordination. · Provide extensive administrative support including creating detailed Microsoft PowerPoint presentations and report generation in Excel and Word. · Assist in managing expense accounts and budgets · Experience with document control · Responsible for tracking and ordering consumables for office and warehouse · Schedule Site visits for internal and external stakeholders · Scheduling of Site inductions and issuance of Terminal credentials in close coordination with EHS team and security · Creation of the Purchase Request and the Good receipt based on the inputs from the site team, collect and follow the PR and GR status daily and present it monthly · Point of Contact for the visitors Requirements Qualifications and experience · Bachelor’s degree from an accredited university or college · Minimum 3 years of related experience Desirable skills · Strong organizational skills and exceptional attention to detail and accuracy. · Experience working on complex projects, marine/operations experience preferred · Good interpersonal and leadership skills. · Ability to prioritize and anticipate needs. · Internet proficiency and knowledge of web-based applications.
