The Sales Coordinator works along with the DVL Sales team, customers, vendors, and contractors to create a smooth sales transaction for our customers. This Coordinator provides coordination and support to the Sales Managers upon project handoff to successfully and timely book and execute the sales project and budget. This is a fast-paced environment with multiple customer projects being handled simultaneously which involves excellent time management, multi-tasking, and organizational skills. We are a hybrid workplace with 24 hours (out of 40 full-time hours) per week collaborating in the Bristol office. Competitive salary plus bonus!

WHAT YOU WOULD BE DOING

* After receiving the sale from the Thermal or Power Systems Sales Manager, is responsible for creating the project budget and then ensuring the invoice does not exceed the project budget
* Use prior accounting knowledge to review and process orders with manufacturers
* Successfully multitask and utilize multiple company and manufacturer software tools simultaneously (i.e. Oracle Sales Cloud, Partner Web, Power BI, HubSpot and Acumatica)
* Learn and maintain awareness of manufacturer’s policy and procedures as well as establish and utilize basic technical knowledge of DVL’s product and service offerings
* Create accurate purchase orders and subcontract for assigned projects
* Closely monitor and maintain the software system (via Acumatica) project revenue and cost budgets timely and accurately
* Coordinate with the manufacturer for shipments according to the customer’s delivery schedule
* Track shipments and notify all parties of shipping details
* Follow up on orders until the shipment is completed
* Invoice customers upon shipment in accordance with the project’s progress
* Accurately and timely approves vendor invoices verifying the invoice is within the project budget and matches the previously issued purchase order or subcontract
* Attentive to detail and knowledge of individual customer billing requirements and submission methods
* Utilize electronic filing system to consolidate project related documentation
* Review order documents for completeness and accuracy

MINIMUM REQUIREMENTS TO APPLY

* High School Diploma required; College business credits/related degree preferred
* A few years of recent and relevant Sales Coordination experience supporting Sales Managers and customers
* Experience working with job costing or budget concepts, invoicing, accounts receivable, accounts payable and procurement as it relates to sales projects
* Ability to understand manufacturer’s product offerings. Prior exposure to relevant thermal/power solutions products preferred.
* Proven professional communication skills
* Attention to detail and strong organizational skills experience
* Multiple years of professional office experience with the ability to be in the Bristol office 24 hours per week (remaining 16 hours can be WFH) for collaboration
* Proficient in Microsoft Office Suite specifically Outlook and Excel

The pay range is $62,000-$70,000 plus bonus based on relevant experience.
