Apply Now About the role Balfour Beatty are currently looking for a Executive Assistant to join our Rail team. This role will mainly be based in our Redhill office, attending Canary Wharf and Kings Cross offices as required to attend meetings, however on occasion national travel will be needed to support major conferences/events. Within this role you'll provide a wide range administrative support to Finance Director, Operations Director (Plant) and Head of HR for Balfour Beatty Rail and other Senior Leadership team members as required. What you'll be doing The main responsibilities within this role are to: Undertake multi diary management and plan schedules in diaries to optimise the working day of allocated executives Screen incoming mail, telephone calls, emails and messages and manage responses directly on behalf of the executives, as required Arrange and attend executive meetings/conferences as required, to take minutes, and ensure appropriate facilities are organised Organise and produce complex (confidential) papers and reports Work with Facilities Management to ensure local office is well organised and tidy and any FM issues are followed-up with relevant internal/external suppliers Book travel and accommodation using corporate suppliers and adhering to company travel and expenses policy Prepare and track personal expenses and other ancillary expenditure Maintain accurate and secure paper based/electronic filing systems, including archiving Maintain full confidentiality of sensitive and confidential business issues Support the work of other Executive Assistants during periods of absence or high volumes of work activity Perform ad hoc confidential project work as required Review internal presentation documents Who we're looking for The successful candidate will have/be: Expert user of Microsoft Outlook, Teams, PowerPoint, Word and intermediate user of Excel Strong previous experience of working for multiple senior executives Highly organised and able to work on own initiative with limited supervision Discreet and confidential and able to handle issues with great sensitivity Able to engage and build effective relationships Strong communication and influencing skills Demonstrable ability to prioritise and manage conflicting priorities during busy periods Able to demonstrate a logical, proactive approach to provide structured support in a complex business Possesses a high degree of attention to detail Proven ability to work well under pressure and to tight timescales Why work for us Day in, day out, our teams deliver some of the UKs most ambitious, exciting and meaningful projects; developing, building and maintaining the vital infrastructure that supports national economies and strengthens communities.
