Job Description
Job Purpose
To provide administrative support to enable the efficient and effective delivery of the General Practice led teaching and assessment components of the MBChB programme.
Main Duties And Responsibilities
* Work closely with the GP Teaching Team, GP Professional Services Team, and more widely within the Undergraduate Medical School to support a range of teaching and assessment activities.
* Provide dedicated administrative support for the organisation, delivery and evaluation of the General Practice Community Oriented Medical Experience Track (COMET), Student Selected Components and GP electives.
* Co-ordinate all aspects of submission and evaluation of the MBhB3 Longitudinal Portfolio and MBChB4 Ethics coursework.
* Co-ordinate and assist with course administration to include editing, copying, and collating of course documentation ensuring an efficient and timely service.
* Regularly review, update, and maintain teaching content within online platforms such as Moodle.
* Responsible for the recruitment of and liaison with course contributors, both internal and external.
* Disseminate information using various platforms involving electronic systems, organise bulk mailings and distribute materials to tutors and students.
* Maintain and update records for sessional payments to GP practices and course contributors.
* Support the delivery of General Practice tutor training events, with particular emphasis on the annual training conference (TALE).
* Assist with the set-up and on-the-day administration of OSCE assessments both on and off campus.
* Undertake any other reasonable duties that the Manager, Deputy Manager of the Undergraduate Medical School and GP Administrative Team Lead may request.
Knowledge, Qualifications, Skills and Experience
Essential
* A1 Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, and experience of personal development in a similar role.
* Excellent written and verbal communication skills.
* Tact, diplomacy and discretion.
* Able to work proactively, multi-task and use initiative.
* Able to work independently and as part of a team.
* Excellent attention to detail.
* Excellent IT skills, covering the Microsoft Office suite.
Desirable
* Further or higher education qualification.
* Knowledge and understanding of University structures, policy, practices and procedures.
* Awareness of GDPR legislation.
* Experience of clerking committees and producing accurate minutes of meetings.
* Experience of web editing.
* Experience of working with and handling large volumes of administrative data, records and information.
* Experience of handling confidential personal information with tact and diplomacy.
* Experience of working within the Higher Education sector supporting learning and teaching activities.
* Experience of financial record keeping.
* Experience of using bespoke IT systems.
Terms and Conditions
Salary will be Grade 4, £24,685 - £26,707 per annum. This post is full time (35 hours per week) and open ended.
