What can you expect? The primary role will be to lead and support the Office Cashiering and Accounts Payable teams, but will also provide ad-hoc support to the Client Cashier team and the Client Account Supervisor. The role will sit within the accounts department in our Belfast office but will manage the office cashier and Accounts Payables teams in all of our locations. Responsibilities The role will primarily include, but is not limited to, the below tasks: Manage the Office Cashier team and the Accounts Payable team. Delegate and supervise workloads Deal with all team aspects such as performance management, appraisals, recruitment and training of new staff members Drive process improvements for the office cashier and AP functions. Manage the interaction between the office cashier function, the AP function and the Business Transformation Team that is assisting with the implementation of LexisOne, which is our new global ERP and accounting system. This will include providing key input into enhancements and functionality development and responsibility for thorough testing of any future enhancements across these areas. Assist in processing of complex supplier invoices and employee expenses as required Review AP Payment runs, Disbursement payment runs and Expense Runs Be aware of all key payments and key suppliers Manage reconciliations of supplier statements as and when required. Run accounts payable reports and review bank reconciliations and ensure reconciling items are investigated and cleared Review and investigate aged creditor balances Handle and resolve day-to-day supplier and business queries, particularly complex queries. Manage company credit cards. Manage Office to Client and Disbursement to Client transfers and communicating with matter Fee Earner/Partner. Manage and ensure all office bank transactions are recognised and posted promptly before month end close. Work closely with the Credit Control team to identify receipts. Investigating unidentified cash receipts and checking for potential Money Laundering issues and reporting as appropriate Assisting with opening and closing of bank accounts and any other queries Ensure compliance with Solicitors Accounts Rules and notify any breaches to the firm's COFA Other ad-hoc duties, supporting International colleagues and liaising with other key functions of the finance department as required including assistance with Year-end audits Experience and Knowledge Good written and oral communication skills, e.g. articulate when communicating to partners and suppliers, and able to present on related matters to the function and wider business Line management skills, including giving effective feedback, running appraisals, managing low and high performers Process improvement and change management skills Recruitment interviewing Good team player – readily assists all members of the team to achieve team and individual objectives, particularly in busy periods Numerate Attention to detail Excellent planning and organising skills – able to handle multiple tasks Able to prioritise team and own workload to meet deadlines Previous experience in a similar role in a Legal firm would be an advantage Other Shows commitment to the role and team Pro-active mentality Displays a willingness to learn and actively seeks new work and challenges Takes personal responsibility for maintaining personal development Professional in attitude and appearance Prepared to work overtime during peak periods Who are we looking for?
