The Role
The key responsibility of this role is to provide a professional, high standard, front-of-house reception service to clients and staff of the firm. The job holder will be working as part of a team with shared responsibilities. The job content will be a mixture of dealing with internal and external telephone calls via the switchboard and meeting and greeting clients/visitors to the firm.
The successful applicant will be a proactive and experienced Receptionist or similar with a friendly and flexible approach. They will have the ability to organise client and staff needs, planning to ensure the standards are kept to a high level to maintain the firms reputation.
The list below of job duties is not exclusive or exhaustive and the post holder will be required to undertake such tasks as may reasonably be expected within the scope of this position.
1. Open Reception area at 08h30 am, unlock doors and prepare the waiting area, ensure everything is working as required. Close and lock Reception area at the end of the day. This will be on a rotational basis.
2. Operating the Reception desk and switchboard.
3. Forward email and other correspondence received to staff promptly.
4. Check the calendar for the days meeting room bookings. Ensure there are no clashes. Clashes to be attended to.
5. Handle incoming calls to the Reception Zoom phone promptly and professionally and in line with current procedures. Transfer calls to relevant staff or departments.
6. Meet and greet visitors with warmth and professionalism and notify the member of staff of their visitors arrival, including issuing of Non-Disclosure Agreements and badges (where applicable).
7. Arrange internal and external meeting room bookings where necessary.
8. Have oversight of client meeting room statuses
9. Raise technology issues in the client meeting rooms with the appropriate internal team.
10. Ensure that the Reception and client waiting areas are always presentable, reporting any issues to the Facilities team.
11. Allocate and manage reserved car parking spaces to clients and staff.
12. Assist with basic administrative tasks as needed
13. Any other ad hoc duties that may be required from time to time.
Please note this is an office-based role.
Qualifications and Experience
14. Previous experience in a similar Reception/customer facing role in a Corporate or 5 start hotel environments.
15. Proactive, multi-skilled team player
16. The ability to work flexibly- covering teams lunch breaks, occasionally changing hours and working some paid overtime when occasionally required.
17. Excellent organisation and co-ordination skills
18. Excellent verbal and written communication skills
19. Ability to multitask and prioritise in a fast-paced, dynamic environment
20. Keen, enthusiastic and friendly
21. Ability to escalate and manage expectations of both internal and external clients
22. Ability to take ownership of tasks and build efficiencies within current processes
