Job Description:
We invite applications for the Rescue Hoist Training Centre Administrator to provide support to our Lee on Solent Rescue Hoist Training Centre (RHTC), reporting into the RHTC Operations Manager.
KEY TASKS AND RESPONSIBILITIES:
1. General reception duties including dealing with the post and answering the phone
2. Providing monthly reports to appropriate internal departments
3. Assisting with the production of monthly reports for external bodies, as required
4. Acting as the first point of contact for clients, visitors and third-party suppliers to the RHTC
5. Coordinating training enquiries and supporting internal and client bookings from initial enquiry through to course completion
6. Managing the training schedule, including joining instructions, course confirmations, amendments and cancellations
7. Liaising with the operations manager, simulator technicians and instructors to ensure training events are correctly resourced and prepared
8. Preparing and issuing training documentation packs (course joining instructions, risk information, site rules, PPE requirements, itineraries)
9. Supporting the onboarding and arrival process for visiting crews, including sign in, site inductions and escorting where required
10. Maintaining accurate training records, attendance logs and course paperwork in relevant systems
11. The post holder will maintain strong working relationships with the Training Administration Manager, ensuring consistent training administration, accurate record‑keeping, and the smooth delivery of services across the wider Bristow training function.
12. Supporting stores and equipment control including stock checks, replenishment requests and maintaining inventory records
13. Coordinating and enforcing site access requirements, covering visitor access passes, local site rules, and compliance with security arrangements
14. Dealing with local suppliers and forwarding invoices to Accounts Department
15. Liaising with airport authorities
16. Facilitating airside pass applications and renewals
17. Monitoring and coordinating health surveillance renewals / appointments
18. Coordination and monitoring of site visitor access
19. Monitor and report on petty cash usage
20. Facilitation and coordination of relevant administrative activities associated with the RHTC
21. Other varied administrative duties as requested by Operations Manager and Simulator Technicians

PERSON SPECIFICATION: (minimum education requirements, key skills and experience)
Experience:
26. Proven previous experience in an administrative role
Skills:
27. Excellent interpersonal skills
28. Knowledge of Microsoft office software to at least intermediate level
29. Previous experience of working with SAP an advantage
30. Confidentiality
31. Ability to work on own initiative
