The Details
We are looking for an experienced and motivated Event Administrator to join our Marketing Operations team. This hybrid position will be based in our Oxford office two days per week.
You will be personally responsible for the coordination and management of our sales event administration across EMEA, APAC and AMR. This individual will support the sales seminar and conference schedule that drives lead generation, lead conversion and expansion of our customers' use of Nanopore technology. The job holder will work closely with the existing Marketing and Sales teams to support the execution of events that best address the needs of each market and reach our sales targets.
Key Responsibilities
* Provide executional support for Oxford Nanopore’s presence at sales‑led seminars and trade conferences globally, including confirming sponsorship and managing arrangements for table‑top exhibition and booths, registration set up, shipment of collaterals, payments and procurement.
* Manage sales event budgets, including accurate tracking and regular reporting.
* Manage internal procurement, invoicing and contract process for sales events (both seminars and conferences), ensuring effective adherence to the existing processes.
* Set, communicate and maintain timelines and priorities on a high volume of sales event projects, ensuring timely deliverables to meet the sales event deadlines.
* Work closely with external stakeholders to negotiate contracts, ensure the smooth planning and execution of all sales events, and maintain strong relationships.
* Be the point of contact to liaise with external vendors and internal stakeholders across sales and marketing teams to meet deliverables.
* Support Regional Marketing and Global Events teams to maintain, improve and update sales events processes, utilizing best practices based on feedback and lessons learned.
* Ensure the company’s brand, core value and messaging are adhered and consistent for sales events.
* Support internal and external communications to promote company sales events and drive conference attendance.
* Analyse and report sales event data and metrics, such as attendance, lead generation and conversion rates, to assess ROI and make data‑driven recommendations.
* Triage general enquiries from the events team inbox, responding where appropriate or disseminating to relevant team members for action.
* Monitor bursary applications, respond to candidates and work with internal accounting to process reward payments due.
What We’re Looking For
* A proven record of event management experience.
* Proven track record in organising logistics or events in the current or previous role.
* Experience in brand management and design.
* Proven ability to work proficiently with external contractors and internal stakeholders to ensure Oxford Nanopore’s presence is strong and innovative.
* Experience using CRM platforms.
* Self‑motivated, copes well under pressure in a fast‑paced environment and can work proactively with multi‑disciplinary teams across the business to achieve conference goals.
* Great team worker and enthusiastic approach to role.
* Outstanding time management and multi‑tasking skills.
