JOB SUMMARY
:
The post-holder will be responsible for providing a full range of clerical services to professional staff and assisting with the day to day management of the office to ensure a smooth running, high quality service.
KEY RESULT AREAS / MAIN RESPONSIBILITIES
1. Undertake general clerical duties and provide clerical support
2. Input and extract information from appropriate computer systems/keyboard duties
3. Undertake Reception duties as required
4. Photocopying and preparing documentation/papers for distribution/processing
5. Open, sort and distribute mail
6. Prepare files, undertake routine filing duties and maintain an efficient, up-to-date record keeping system
7. Deal with telephone calls and process messages and queries as appropriate
8. Liaise closely with other departments, deal with internal and external enquiries as appropriate
9. Assist in the production of statistical information
10. Monitor and order stationery and office supplies
11. Operate automated office equipment as required
12. Cash handling including petty cash and lodgements to the bank
13. Type reports, memos, letters forms etc. from manuscript or digital dictation as required
14. Maintain a high level of confidentiality of information in line with current legislation and policies within the Department
15. Communicate effectively and provide a high standard of customer service on behalf of the Trust
16. Take part in relevant training programmes
17. Provide cover as required for other clerical staff within the Department during periods of absence or excess workload.
18. Undertake any other duties within the department and within the grade which may be assigned from time to time
19. The post-holder may also on occasion be expected to work in other offices within the locality as the need arises during times of workforce pressures
ESSENTIAL CRITERIA
3 GCSEs (Grades A-C) to include English or equivalent
OR
English GCSE (Grade A-C) or equivalent
Plus
1 year's paid clerical experience in an office environment. This experience must include
20. using the Microsoft Office suite of packages
Plus 5 of the following areas-
21. word processing
22. filing
23. telephone duties
24. photocopying
25. data input
26. data extract
27. using spreadsheets
*In addition to the above, applicants must possess:
RSA/OCR Stage II Typing/Word Processing (both parts) or equivalent.
(Holders of RSA/OCR examinations after September 1986 must have passed both Parts/Levels 1 & 2). This must be clearly identified on application form and certificates
