Overview
We are seeking an experienced and highly organised Personal Assistant to provide comprehensive support to both the CEO and Managing Director on a temporary basis. This is a fast-paced role within a reputable insurance firm, requiring exceptional attention to detail, strong communication skills, and the ability to operate with discretion at all times. The successful candidate needs to be confident managing senior stakeholder relationships and balancing multiple priorities simultaneously.
Key Responsibilities
Executive Support
Provide full PA support to the CEO and MD, including extensive diary and inbox management.
Coordinate internal and external meetings, preparing agendas and briefing packs as required.
Arrange travel, accommodation, and logistics, ensuring itineraries are seamless and well-organised.
Act as the first point of contact for internal and external stakeholders on behalf of the CEO and MD.Administration & Coordination
Prepare documents, presentations, reports, and correspondence to a high professional standard.
Manage confidential information with discretion and professionalism.
Support with expense management, invoice processing, and approval workflows.Operational Support
Assist with project coordination and tracking key deliverable.
Liaise with wider business teams to ensure the leadership team is fully briefed on priorities.
Support with events, leadership meetings, and internal communications when required.
Required Skills & Experience
Proven experience supporting C-suite or senior leadership within a corporate environment (insurance or financial services desirable).
Exceptional organisational skills with the ability to multitask and prioritise effectively.
Strong written and verbal communication skills.
High level of professionalism and discretion.
Proficient in Microsoft Office Suite (Outlook, Teams, PowerPoint, Excel, Word).
Ability to work both independently and collaboratively.
Comfortable working in a fast-paced environment with shifting priorities.
