Medical Staffing Admin Manager (INTERNAL)
We are seeking an organised, proactive, and highly motivated Medical Staffing Administration Manager to join our Medical Division team. This is an exciting opportunity for an experienced administrator to play a key role in supporting the delivery of an efficient and effective medical staffing service across the organisation.
The post holder will be responsible for managing the day-to-day administration of medical staffing processes, ensuring compliance with employment legislation, NHS policies, and regulatory requirements. Working closely with clinicians, managers, HR colleagues, and external stakeholders, you will help ensure that medical workforce records, recruitment activities, rota management processes, and workforce reporting are maintained to a high standard.
* Significant administrative experience, ideally within an NHS or healthcare setting.
* Strong organisational and prioritisation skills with the ability to manage competing deadlines.
* Excellent communication and interpersonal skills.
* Experience of working with workforce information systems and databases.
* Strong analytical skills and attention to detail.
* Ability to work independently and collaboratively within a multidisciplinary environment.
* Knowledge of NHS medical staffing processes and employment legislation is desirable.
Main duties of the job
Key Responsibilities:
* Manage and coordinate medical staffing administration services across the organisation.
* Support the recruitment, onboarding, and employment lifecycle of medical staff.
* Ensure accurate maintenance of workforce information systems and employee records.
* Monitor compliance with mandatory employment checks, GMC registration, visa requirements, and appraisal processes.
* Produce workforce reports and management information to support operational decision‑making.
* Provide advice and guidance to managers and medical staff on staffing procedures and policies.
* Support the implementation of workforce initiatives and service improvement projects.
* Line manage and develop administrative staff within the team where applicable.
Person Specification
Education and Qualifications
* Educated to degree level or equivalent or relevant experience.
* 5x GCSEs C grade or equivalent to include English and Mathematics.
Skills, Knowledge and Abilities
* Experience of managing own workload and meeting tight deadlines.
* Proven ability to work under pressure and deal with difficult / stressful situations.
* Knowledge of booking processes for both inpatient and outpatient episodes.
* Highly developed knowledge of Microsoft Office applications.
* Ability to effectively communicate both verbally and in writing to a wide range of people.
* Minute taking and report producing skills.
Experience
* Previous experience of office management.
* Experience of taking and transcribing minutes.
* Experience of dealing with confidential or sensitive issues.
* Experience of working in an NHS Trust environment and interaction with consultants, clinicians and senior managers.
