Role Description

We have a fantastic opportunity for the right person to join us as our Training Course Administrator. You will be involved in all aspects of organising our operation, looking after our clients and delegates, as well as bringing your own uniqueness to our small, cake-loving team in Southampton.

You will be focused on supporting our delegates, trainers, clients and visitors who are the most wonderfully diverse bunch you could meet. Activities will include: -
* Booking accommodation
* Meeting and greeting delegates as they arrive in the country
* Providing local insight and social recommendations for overseas visitors
* Proactively communicating with delegates, clients and third parties (including partner organisations, embassies and attachés)
* Purchasing refreshments, stationery and equipment
* Organising meetings
* Helping trainers prepare course materials, training rooms and delegate packs
* Responding to issues and enquiries so people are reassured and have what they need
* Organising the office 'crumpet' Mondays
As a small team we help each other get the job done to a professional standard, and although you will have your own duties there will be lots of opportunities to get involved in interesting activities; the more curious you are the more you will learn. Your duties include: -
* Maintain live course information, attendance, outcomes etc.
* Administer course bookings
* Maintain the Xero finance system
* Issue invoices, credit notes and purchase orders
* Balance the Petty Cash spreadsheet
* Maintaining HubSpot CRM system
* Providing information about our services
Qualifications
* Strong interpersonal and communication skills
* Experience in customer service
* Ability to provide administrative assistance and support
* Familiarity with training coordination and logistics
* Excellent organisational and time-management skills
* Proficiency in using MS Office software and tools
* Bachelor's degree or equivalent experience is preferred
What you will need to bring
* Interest in working with people from different cultures and language groups
* Customer service experience
* Administration experience
* GCSE English and Maths A-C or 6-9
* Knowledge of the local area (Southampton).
* Competent in Microsoft Word, Excel, PowerPoint, and proficient and confident use of technology.
What else would help:
* Sense of humour
* Experience of working with financial and petty cash systems.
* Full UK driving license
* Level 2 qualifications in business administration or customer service or similar.
* Degree level qualification.
* Experience of studying, living or working outside of the UK
* Experience of working with different cultures and language groups.
* Multilingual with all major languages around the world (ok, so maybe that's a bit much)
