Role Overview
The Guest List Manager is responsible for overseeing the planning, coordination, and delivery of all guest list operations at Boomtown Festival. This role ensures a seamless and professional experience for Directors’ guests, VIP attendees, and key partners. The successful candidate will manage accreditation processes, maintain accurate guest data, and lead meet‑and‑greet services, delivering a high standard of hospitality throughout the event.
Key Responsibilities
Guest List Management
* Develop, maintain, and oversee multiple guest lists including Directors’ guests, VIPs, and partners.
* Coordinate directly with internal stakeholders (Directors, Partnerships team, VIP coordinators, Head of Music, Ticketing team) to gather and verify guest information.
* Ensure all guest data is accurate, up‑to‑date, and handled confidentially.
* Manage last‑minute changes, additions, and queries in a fast‑paced environment.
Accreditation & Access Control
* Oversee the accreditation process, including pass allocation, collection points, and distribution.
* Ensure all guests receive the correct level of access and credentials.
* Work closely with security and access teams to maintain the integrity of accreditation systems.
* Troubleshoot accreditation issues quickly and efficiently on‑site.
VIP & Partner Relations
* Act as a primary point of contact for VIP guests and partners before and during the festival.
* Deliver a high level of customer service, ensuring all guest needs are anticipated and met.
* Support partnerships activation by ensuring partners’ guests are managed according to agreements.
Meet & Greet Coordination
* Plan and deliver meet‑and‑greet services for high‑profile guests and stakeholders.
* Coordinate arrival times, transport, and on‑site navigation where required.
* Brief and manage meet‑and‑greet runners.
* Ensure a welcoming, professional, and efficient guest experience at all touchpoints.
* Maintain clear communication across teams, including music, security, and any relevant stakeholders.
On‑Site Operations
* Be present on‑site throughout the festival to manage guest services operations.
* Handle escalations, complaints, or special requests with discretion and professionalism.
* Continuously improve processes to enhance guest experience.
* Provide detailed debrief post‑event.
Skills & Experience
* Proven experience in guest list management, accreditation, or VIP services within festivals, events, or hospitality.
* Strong organisational skills with the ability to manage multiple lists and priorities simultaneously.
* Excellent communication and interpersonal skills.
* Ability to remain calm and solutions‑focused under pressure.
* High attention to detail and data accuracy.
* Experience working with accreditation systems or databases.
* Experience working at large‑scale festivals or live events.
* Previous team leadership or supervisory experience.
* Knowledge of Boomtown Festival operations or similar immersive events.

Working Conditions
* This role requires working on‑site during the festival, including long hours.
* On‑site pre‑event planning and coordination will be required in the lead‑up to the festival.

The Guest List Manager plays a critical role in shaping the experience of Boomtown Festival’s most important guests. This is a dynamic, high‑responsibility position suited to someone who thrives in live event environments and is committed to delivering exceptional service at every stage of the guest journey.
Role‑Specific Information
On‑site Accommodation
You will need to provide your own accommodation. This can either be a tent or a live‑in vehicle. You are welcome to stay in the music office campsite in the artist field or in the main crew campsite.
Meals On‑site
Three meals per day will be provided. These will be in crew catering and all dietary requirements will be catered for.

Physical Description of Work
This role is an on‑site role at the festival, with some physically active work such as bending, lifting, and moving around other areas of site. The festival takes place on a large, greenfield site, so the role requires the ability to move around independently and extensively.
