Oxford University Hospitals NHS Foundation Trust (Job no. 321-MRC-7832525-B4) is seeking a Patient Pathway Administrator for the Pelvic Pain Physiotherapy team. The role is part-time, permanent, on Band 4, paid £28,392 to £31,157 per annum (pro rata). Location: John Radcliffe Hospital, Oxford, OX3 9DU, United Kingdom.
Job Summary
As a Patient Pathway Administrator, you will manage the provision of a professional administrative service within the Pelvic Pain Physiotherapy team, ensuring high data quality and optimal use of capacity and resources.
Responsibilities
* Maintain oversight of all administrative tasks within the Pelvic Pain Physiotherapy team.
* Respond to communication and queries via email, face to face and telephone in a timely manner.
* Use Trust IT systems (EPR, PACS, etc.) to register patients, make outpatient appointments, produce end-of-treatment letters, check in/out appointments, and update patient details.
* Book appointments in line with the 18-week referral to treatment (RTT) pathway and escalates to the B8a patients close to breach.
* Actively manage the Patients Missing Follow-Up List and Patient Initiated Follow-Up List, ensuring patients requiring appointment booking or discharge are processed.
* Manage the Patient Initiated Follow-Up Pathway, removing patients when appropriate.
* Provide training and supervision to Band 3 administrative staff.
* Contribute to service-development projects and continuous improvement initiatives.
* Collate patient statistics, ScanIt, electronic filing, photocopying and book interpreters.
* Lead the preparation of meeting agendas and minutes for departmental meetings.
General Administrative Duties
* Demonstrate high levels of customer care and act as an ambassador for customer service within the Trust.
* Appropriately and sensitively manage patients with high levels of anxiety or aggression.
* Maintain patient confidentiality at all times.
* Assist with new referrals and provide support to clinical staff.
* Attend departmental meetings and training to stay current with service and Trust procedures.
* Act in alignment with Trust values and demonstrate behaviours that support compassionate excellence.
* Perform other duties as required to fulfil the post’s objectives.
* Assist with stock monitoring, data entry into databases, development of Electronic Patient Record templates, and liaise with IT and letter production services as needed.

Essential
* Good general level of education (e.g., 5 GCSEs grade C or above or equivalent).
* Previous admin/secretarial experience.
* Previous experience of managing others.
* Organisational and time‑management skills.
* Excellent written and verbal communication skills.
* Ability to cope effectively under pressure.
* Ability to design and maintain spreadsheets.
* Experience of MS Office.
* Ability to work independently and as part of a team.
* Excellent interpersonal skills and initiative.
* Ability to meet tight deadlines and prioritise workload.
Desirable
* EPR trained.
* Ability to accurately document meeting minutes.
* Evidence of team working.
* Experience communicating with distressed patients.
* Knowledge of medical terminology.
* Previous experience within the NHS/public sector.
