We're seeking a Commercial Administrator to join our client in East Ayrshire, to support project delivery and business operations across a diverse portfolio of mechanical engineering projects. This is a varied and rewarding role that combines commercial administration, HR support, and PA duties.
Key Responsibilities
Maintain contract and retention registers
Assist with contract reviews and subcontract documentation
Set up new projects including folders, job numbers, and forms
Track applications for payment and reconcile receipts
Support monthly work-in-progress assessments
Assist with supply contracts, leases, and property-related admin
Prepare and issue offer letters, contracts, and induction materials
Minute-taking at HR-related meetings
Maintain confidential personnel records
Organise meetings, events, and visitor planning
Support company-wide events and presentation materials
Assist with travel planning and confidential minute-taking for senior leadership
What our client is looking for:
Strong planning, organisation, and project coordination skills
Proficiency in Microsoft Office (Excel, Word, PowerPoint); familiarity with SAGE and MS Project is a plus
Ability to grasp technical terminology and principles
Excellent communication and interpersonal skills
High levels of integrity, confidentiality, and professionalism
