We are now looking for a capable and proactive part-time Finance & Commercial Officer to support our day-to-day finance and overseas operations and contribute to ongoing improvements as the business grows.
Role Overview
This is a varied and hands-on finance and administration role, ideally suited to a highly diligent and detail-oriented individual with strong problem-solving skills and the confidence to work independently. The successful candidate will bring a proactive, positive mindset and a “can-do” attitude, contributing not only to their core responsibilities but also to wider team objectives.Working closely with the Finance Director and the Patient Services team, you will ensure the accuracy of financial records, deliver robust reconciliations, and maintain smooth end-to-end patient and Business-2-Business (B2B) billing processes. You will also collaborate with the International Business Development team, providing essential support to ensure efficient sales fulfilment and operational effectiveness.This role has the potential to grow in terms of time requirement and career progression as the business grows.
Key Responsibilities
Sales, Billing & Reconciliation
* Reconcile daily sales and ensure the accuracy of accounting records in Xero, updating the master sales spreadsheet and highlighting discrepancies to the Patient Services team.
* Invoice private medical insurers for patient appointments, monitor and reconcile receipts, updating invoices on our Patient Management System when received, and chase patients for any policy excess.
* Monitor and claim 0% finance funds, updating invoices on our Patient Management System when received.
* Process refunds for cancelled appointments and non-treatments, including initiating refunds in Stripe, raising credit notes in our Patient Management System, and communicating completion to Patient Services.
* Produce insurance reimbursement letters for self-funding patients upon request.
* Record and approve doctor, clinic, and chaperone invoices against the master sales spreadsheet, ensuring accurate treatment of items for month-end accruals.
International Sales Administration
* Raise proforma and commercial sales invoices for UK and international B2B customers, based on purchase orders, ensuring accuracy and alignment with contractual terms.
* Prepare packing lists and other customs documentation for international orders, liaising between the International Business Development Team, the Regulatory Team and the customer, to arrange timely shipment of orders.
* Prepare the documentation required for any device returns and replacements.
* Ensure compliant orders documentation in accordance with our ISO13485 Quality Management System.
* Send out customer contracts via Docusign and maintain signed copies and version control within customer folders on SharePoint.
Banking, Cashflow & Financial Records
* Reconcile the bank feed in Xero, ensuring outstanding transactions are promptly matched and resolved.
* Update the weekly cashflow forecast with actual results and forward-looking projections.
* Maintain and update the fixed asset register with new capital expenditure.
Business Support, Planning & Process Improvement
* Assist the Finance Director with information required for annual insurance renewal, year-end financial statement preparation, and other ad-hoc financial requests.
* Support the annual business planning and budgeting cycle.
* Identify opportunities to streamline and improve existing finance processes and actively support the implementation of improvements.
* Deputise for the Finance Director where appropriate.
Person Specification
Qualifications & Experience
* AAT qualified (or equivalent).
* 2–3 years’ experience in a finance role.
* Experience using Xero is highly desirable.
* Strong Excel skills (spreadsheets, reconciliations, formulas).
