The Opportunity
The Operations Manager is the steward of the Grade II listed London Undergraduate campus of Hult International Business School. Working closely with Senior Director of Campus Life & Operations, the Operations Manager is responsible for the safety and security of the students, staff, and faculty of Hult’s diverse community. Planning campus emergency procedures, overseeing daily running of the campus. Additionally, the Operations Manager will work closely with the finance team to budget for and review project bids for various yearly campus upgrades, quarterly maintenance, and emergency repairs. The ability to do in-house repairs to moderate plumbing and electrical issues is also key to maintaining a campus conducive to learning.
Responsibilities
* Plan and manage daily campus facilities operations while considering various stakeholders (Staff, Students, faculty, property and, guests).
* Utilize various resources (contractors, other staff, vendors), to meet operational demands.
* Creative use of financial resources requires strategic and sometimes creative approaches.
* Coordinates facilities related operational logistics.
* Collect yearly Carbon footprint data
* Oversee team of 8 full time cleaning operatives, coordinating short and long-term scheduling (weekly, weekend, special event schedules, deep cleans, special events services)
* Oversee Security scheduling---Long term work schedules, foreseeing and adapting to changing operational demands.
* Oversee Campus access rights (creating time zones, programming door schedules for various stakeholders, adding & removing user permissions, printing ID access cards)
* Oversee Front of House operations (Campus guest policy, student ID policy, special event accommodation, mail and package policy).Liaise between front desk and various departments throughout campus regarding visitor, student, and staff campus policies as well as maintaining communication for any issues that arise and are reported to the Front of House.
* Act as day-to-day on-site coordinator on any facility related projects involving vendors, third party constituents, and have an on-site presence to steward those relations.
* Campus policy--reviews and modifies campus policy as operational demands change i.e... global leadership policy changes. Informs stakeholders of changes in written and oral presentation form.
* Utilize prior spending actuals to formulate a facilities budget to meet projected operating costs.
* Analyze and prioritize facilities spending to ensure an accurate and cost-conscience budget within various accounts associated with facilities and operations.
* Review and negotiate vendor contracts.
* Monitor the condition of campus facilities i.e. campus furniture, student equipment and create KFR cost proposals for upgrades and renovations for review and approval by campus leadership and finance teams.
* Review and code operational invoices in Oracle for accuracy by cross-referencing work orders and projected service agreements and contractor proposals.
* Coordinate and review project bids by various contractors for campus projects; electrical buildouts, flooring, HVAC, A/V upgrades.
* Review staff project requests for feasibility and cost.
* Plan and implement campus emergency procedures.
* Coordinate/communicate workflow with Senior Director of Campus Life & Operations daily.
* Provide planning, direction and execution of short and long-term Hult facilities projects.
* Establish and maintain vendor relations.
* Provide logistical and event support for events, both internal and external
* Oversee operations of our Student Run coffee shop on campus
Supervisory Requirements
* Front of House Coordinator & Security
* Vendors, contractors and tradesmen
Skills & Requirements:
* Intermediate to advanced proficiencies in building trades including painting, carpentry, plumbing, HVAC, electricity (less than 550 volts), door lock hardware, and equipment repair.
* Fluent English speaker able to read and understand blueprints, building plans, product specifications, and other technical materials.
* Working knowledge of applicable compliance regulations.
* Industry knowledge of suppliers and service providers in property maintenance.
* Financial data analysis and planning ie. True ups, project change orders, accruals
* Basic knowledge of IT networking.
* Ability to perform tasks with tools, ladders, and lifts in a safe and effective manner.
* Ability to lift up to 50-100 pounds and carry it up to 90 feet (or deposit into dumpster or trash compactor).
* Standing, walking, lifting, twisting, and bending on a frequent basis.
* Willingness to adapt to changes in task assignments and ability to multi-task.
* Team player with good interpersonal and communication skill sets.
* Basic working knowledge of Microsoft Office programs.
* 5 years’ facilities management experience with 1-2 years at a supervisory level.
