About The Role We are seeking a highly organised and proactive professional to provide high-level executive and administrative support to the Executive Director of Partnerships & Employer Engagement. This role plays a key part in ensuring the smooth and efficient running of the directorate, enabling the Executive Director to focus on strategic priorities. You will manage complex schedules and competing priorities, coordinate communications, and support the development and maintenance of effective relationships with both internal colleagues and external partners. Acting as a central point of coordination, you will help facilitate collaboration across teams while ensuring the Executive Director is well-prepared for meetings, engagements, and partnership activity. Key Responsibilities Manage the Executive Director’s diary, including scheduling complex meetings, coordinating with senior internal stakeholders and external partners, and anticipating scheduling needs. Prepare high quality briefings, meeting packs, presentations, and reports to support strategic decision making. Manage all incoming communications, prioritising issues, drafting responses, and ensuring timely follow up. Support the Executive Director with preparation for board, committee, partnership, and industry meetings. Coordinate the logistics for partnership meetings, employer visits, sector engagement events, and strategic networking activities. Maintain accurate records of employer contacts, partnership agreements, and engagement activity. Assist in preparing proposals, pitch decks, partnership documentation, and follow up communications with employers and key stakeholders. Track actions arising from employer/partner meetings and ensure timely delivery by relevant leads. Provide organisational support for partnership related projects, employer engagement initiatives, and cross departmental working groups. Monitor project timelines, actions, and deliverables, escalating issues where necessary. Qualifications & Training Level 2 Qualification (GCSE A* – C or equivalent) in Maths and English Level 5 Management/Business Administration qualification Skills & Expertise Significant experience (within the last 3 years) of carrying out a personal administrative role at a senior executive level, within a busy office environment Relevant experience of communication with senior stakeholders within the education sector Ability to use IT systems and processes continually improving administrative systems and maximising efficiency, particularly Microsoft Office 365 and SharePoint Ability to work proactively and autonomously, and use initiative to take responsibility for prioritising work and meeting multiple deadlines The ability to maintain a positive and professional approach, demonstrating confidentiality and discretion at all times Excellent communication skills, with effective customer service skills commensurate with working within an executive environment Excellent organisational skills, commensurate with that of an executive environment and taking into account the management of several individual diaries at any one time Ability to liaise effectively with senior stakeholders both internally and externally and always represent the exemplary reputation of the College as would be expected from a Senior PA within an executive office
