Main duties of the job

To provide administrative duties and reception service to all patients/personnel who access the Audiology Department. There are 2 vacant posts (2 x part time): one 20.5 hours and one 20.25 hours. The post holder will be required to use a designated computer system to enter patient data, combined with general office and clerical duties. The post holder will be expected to work flexibly in the department to ensure the service has sufficient cover to meet patient and service needs.

Job responsibilities


Communications

* Deal with telephone, email and text enquiries from patients and other healthcare workers
* Deal with face-to-face enquiries from patients who may be hard of hearing or deaf
* Type up clinic reports and letters to support Audiologists
* Use Relay to communicate with deaf patients where required


Responsibility for Patient Care

* Maintain confidentiality of patient information
* Organise transport including ambulances and taxis for patients
* Issue replacement batteries to patients
* Assist patients / service users / carers / relatives during incidental contacts


Planning and organising

* Organise and plan own day-to-day workload to meet the demands of the role
* Book clinic appointments and reschedule cancelled appointments to optimise Audiology workload
* Organise battery distribution to local centres, taking into account stock levels
* Ensure patient notes are available for clinics


Resources

* Ensure safe and efficient use of equipment, resources and consumables at all times
* Contribute to the efficient management of departmental resources, including ordering/monitoring of supplies
* Organise hearing aids for repair through drop-in, internal and external post
* Send and receive earmoulds to/from manufacturers, if required

The Trust is committed to safeguarding and promoting the welfare of children, young people and vulnerable adults and expects all staff to share this commitment and promote safeguarding by implementing Trust policies and procedures, acting promptly on concerns and sharing information appropriately. This post requires a Standard DBS check at a cost of £26.90, deducted from the first Trust salary. In addition, joining the DBS update service and paying the annual subscription fee of £16 is a condition of employment.

Please note that while the Trust offers sponsorship, this role is not eligible for visa sponsorship under the UK Health and Care Worker visa route due to not meeting the minimum salary threshold of £25,000 per annum and/or the required skill level. Person Specification


Education and qualifications

* Recognised typing or word processing qualification
* Basic numeracy and literacy
* GCSE in maths and/or English
* Experience of Patient Centre, advantis, evolve


Knowledge

* Communication strategies
* Deaf and Equality & Diversity awareness


Experience

* General office experience
* Experience of dealing with people from diverse backgrounds
* Experience of working in the NHS


Skills and abilities

* Able to communicate sensitively and effectively with the deaf and hard of hearing
* Able to use own initiative
