Overview
UNISON RMS (Membership) Operations Administrator – RMS Department. Grade 7, 35 hours per week. Location: UNISON Centre. Reports to: RMS Operations Manager. The role provides primary administrative support to the RMS Operations Manager and to the RMS Operations staff, ensures efficient department administration and office management, and assists Second Line Support colleagues with membership queries and requests.
Responsibilities
* Support the departmental manager by maintaining the operational budget and ensuring reconciliation against the general ledger for accurate expenditure reporting.
* Liaise with the Finance department to ensure spend is correctly represented in the General Ledger.
* Organise and administer all internal and external meetings.
* Prepare minutes and formal documents to a high level of accuracy within an agreed prioritisation system, ensuring consistency in the quality of materials produced by the department.
* Administer internal document management (SharePoint).
* Field administrative queries from regional and branch users and handle as appropriate.
* Handle support queries or disseminate as appropriate.
* Organise travel and accommodation requirements.
* Arrange and administer training courses and coordinate training events and information.
* Ensure training events run smoothly by securing facilities, materials and resources.
* Maintain and record staff personnel records in line with standard procedures issued by UNISON HR, using UNISON’s internal personnel software.
* Undertake updates on UNISON’s membership system.

* Financial: Ability to understand expenditure concepts and monitor against budget.
* Administrative: Ability to work to deadlines and service levels; experience in personal planning, time management and calendar event planning; ability to prioritise workload and follow policies and procedures; escalation of problems to management when appropriate.
* Document Management: Understanding of electronic document management systems and the ability to maintain them.
* Communications / Co-ordination / Facilitation: Excellent office organisational skills for liaising with meeting room, travel and accommodation services; ability to liaise with diverse groups; clear written communication skills; completer-finisher mentality to finalise open problems and time-critical tasks; strong office management to support day-to-day RMS Operations.
* Technical: Skills in maintaining and creating spreadsheets; knowledge of ICT packages including Microsoft Office.
* General: Understanding of UNISON’s aims and objectives; commitment to equality and democracy; understanding of trade unions and the social and political environment; ability to work as part of a team and on own initiative; appreciation of the importance of a membership system within a member-led organisation.
