Key Responsibilities:
Office Administration:
* Coordinate and manage daily office operations.
* Oversee client parking arrangements, meeting venue preparation, and office supplies.
* Handle incoming calls, courier arrangements, and office equipment management.
* Liaise with and manage the office cleaner.
Family Office Services:
* Assist ultra-high-net-worth clients with ad hoc requests (e.g., visa/passport applications, insurance, medical aid, filing systems).
* Attend client locations for document signing.
Executive Support:
* Provide diary management for directors and senior management.
* Arrange travel itineraries, including flights and accommodation.
* Schedule monthly client meetings.
* Handle ad hoc personal requests (e.g., car servicing, restaurant bookings).
Client Administration:
* Prepare and prepopulate account-opening documentation.
Requirements:
* English as a first language with excellent written and verbal communication skills.
* Minimum 15 years’ experience in a professional environment.
* Strong MS Office and Excel skills.
* Valid driver’s licence and own vehicle.
* Clear credit and criminal record.
* Previous experience as a PA or administrator for senior management preferred.
* Ability to work under pressure with a proactive, positive attitude.
