Salary: £28,280 to £30,280

Contract: Fixed Term, 6-9 Months

Hours: Full-time, 35 hours per week, Monday to Friday

Location: Ealing/Hybrid

DBS: Basic

Role Overview

We're looking for a proactive and personable Building Services Coordinator to be at the heart of our mission to provide safe, high-quality homes and outstanding customer service. You’ll support all contract management functions for our Mechanical & Electrical (M&E) services, ensuring compliance, resolving issues, and helping us deliver our goals. You’ll work closely with the Building Services team and colleagues across the business to manage data, monitor performance, and keep repairs on track. Additionally, you’ll be a first point of contact for residents, handling queries and complaints with professionalism, empathy, and resilience. Your work will help us maintain our commitment to exceeding expectations and creating great places to live.


Key Responsibilities

1. To work alongside the Building Services Contract Managers and Engineers to deliver effective contract management, compliance, and repairs solutions
2. Prepare reports to enable Contract Managers to monitor the performance of our M&E Contractors, ensuring full compliance and governance with legislation and A2Dominion policies
3. Manage asset data, KPIs, and finance data, and support the team to implement new systems
4. Manage the progress of repairs and provide support to each contract management team where required to ensure outstanding works are managed
5. Organise and attend meetings, and prepare minutes and action points as required, including offsite meetings outside of normal working hours
6. Manage resolution of complaints by providing the required information, monitoring the progress of repairs, and communicating with customers
7. Manage work orders from raising the works to processing payments
8. Work collaboratively with internal teams to ensure the best possible service to customers
9. Provide regular updates and reports to the Building Services Contract Manager on complaints, contractor performance, and key issues


More About You

You'll be a natural communicator who remains calm, clear, and professional even under pressure. You’ll have a positive approach, enjoy working as part of a team, and take ownership of your work.

* A Level 3 or 4 qualification in an M&E-related discipline or equivalent relevant experience of 3+ years is desirable. You’ll be willing to undertake relevant vocational study that leads to a professional qualification
* You have a strong track record in delivering effective customer-focused services, ideally within an M&E maintenance or repair setting
* You can produce accurate reports on performance, budgets, and KPIs, and are confident in managing and maintaining high-quality, reliable data
* You’re comfortable handling and monitoring complaints, keeping stakeholders updated, and managing challenging conversations with tact and resilience
* You build and maintain productive relationships with colleagues, residents, and external partners, ensuring collaboration and trust
* You are proficient in using databases and Microsoft Office, with strong Excel skills for analysing data, identifying risks, and presenting findings in both written and verbal formats. Experience with CRM, Total Mobile, and Repairs/Housing Management systems is desirable
* An understanding of asset management principles and the impact of accurate data and robust stock condition on future investment is also desirable, as is knowledge of Building Regulations and compliance standards
* A full UK driving licence and access to a car is desirable
