The Role
JDO Global is looking for a detail-oriented and organised Junior Digital Asset Assistant to support the management of our digital asset hub while our Digital Asset Officer is on maternity leave. There is potential for this position to become permanent.
Our Global Asset Hub is an organised online library where we store and manage all of JDO Global’s creative and brand assets. It ensures that files are easy to find, correctly named, and consistently formatted so the team can quickly access what they need. These assets are used in a variety of ways, including case studies, client presentations, marketing materials, design projects, and internal documents. As the Junior Digital Asset Assistant, your role will be to keep this system well organised and running smoothly, making sure assets are correctly stored, tagged, and ready for efficient use by the wider team.
The Junior Digital Asset Assistant will work under the guidance of the Technical Director initially and then report to our Digital Asset Officer once she returns to work.
Responsibilities
1. Keep the JDO Global Asset Hub up to date, ensuring all assets are stored correctly and easy to find, making retrieval and sharing simple.
2. Ensure the integrity and quality of digital assets, including reviewing, editing, optimising, and approving content before it is added to the JDO Hub. This also includes managing restricted assets, expiration dates, etc.
3. Follow existing naming conventions and tagging guidelines to ensure consistency across all digital assets.
4. Regularly upload and tag assets so they are accessible to the wider team.
5. Resize and format assets where needed to meet company standards.
6. Assist with collecting and organising assets for presentations and credentials decks.
7. Provide inductions, training, and ongoing support to JDO Hub users, so that they can effectively utilise all system's features.
8. Track asset usage and identify ways to improve accessibility, while proactively supporting users in making the most of the system.
Experience/Skills Required
1. Strong organisational skills and attention to detail.
2. Ability to follow guidelines and maintain consistency in asset management.
3. Comfortable working with digital files and basic image editing (e.g., resizing, simple formatting in Photoshop or similar tools).
4. Good communication skills and ability to respond to asset requests.
5. Basic knowledge of software such as Photoshop, Keynote, and file compression tools is a plus.
6. A proactive and methodical approach to tasks.
KPIs
1. Keep the digital asset hub organised and up to date, ensuring files are easy to find and properly stored.
2. Ensure newly uploaded assets follow correct naming conventions and tagging guidelines.
3. Ensure all assets meet basic quality standards before being added to the system (e.g., correct format, resolution, and naming).
4. Handle asset requests in a timely and helpful manner, ensuring the team has what they need.
5. Resize or format assets when needed, following company guidelines.
6. Help team members navigate the asset hub and provide basic guidance when needed.
7. Maintain order so the Digital Asset Officer can smoothly continue work upon return.
