IT Project Coordinator
Location: Bedminster Down, Onsite

About the role:
Working with Dev & IT and alongside the Leadership Team, the IT Project Coordinator will schedule, administer, and facilitate all types of IT projects, from simple activities lasting a few hours to more complex plans lasting several months.
IT Project Coordinator responsibilities include preparing and managing action plans and schedules including resources and timeframes for projects. They will perform various coordinating tasks, like schedule and risk management, along with administrative duties, such as maintaining project documentation and reporting. To succeed in this role, they will have excellent time management and communication skills, as they’ll collaborate with clients and internal teams to deliver results on deadlines.
You will also work closely with the Head of Development to ensure all projects meet client expectations and adhere to quality standards, driving continuous success across the team.
Role and responsibility
1. Coordinate project management activities, resources, equipment, and information
2. Break projects into manageable actions and set timeframes in collaboration with the Development Lead and Head of Development.
3. Owning Jira Cloud platform and managing automations and workflow updates.
4. Liaise with internal and external clients to identify and define requirements, scope, and objectives
5. Assign resource and tasks to internal teams and assist with schedule management
6. Make sure that clients’ needs are met as projects evolve
7. Analyze risks and opportunities
8. Arrange and oversee release notes
9. Monitor project progress and handle any issues that arise
10. Act as the point of contact and communicate project status to all participants
11. Work with the IT delivery teams to eliminate blockers
12. Use tools to monitor working hours, plans
13. Create and maintain comprehensive project documentation, plans and reports
14. Acts as gatekeeper of IT delivery quality.
Put in place resources and processes to ensure quality (standards) is delivered.
Testing is rigorous (smoke, regression, volume testing) and liaising with Digital Delivery team to deliver usability testing.
Sustainable deliverables are provided
Adequate monitoring and alerting is in place
15. Ensure supplier delivery to the same standards, protocols, and productivity levels.
16. Ensure standards and requirements are met through conducting quality assurance tests and working with the QA team & Software Testers.
17. Continuous improvement culture.
What experience / skills are we looking for?
Required Skills
18. Proven work experience as a Delivery manager/Project Coordinator or similar role
19. Experience in project management, from conception to delivery
20. An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
21. Familiar with lean & agile practices such as SCRUM
22. Supplier Management.
23. Continuous improvement.
24. Solid organisational skills, including multitasking and time-management
25. Strong client-facing and teamwork skills
26. Familiarity with risk management and quality assurance control
27. Working knowledge of project plans is a plus
28. Hands-on experience with Jira cloud (Admin level) creating and editing automations and workflows.
29. Basic knowledge of IT – architecture (e.g. server side), platforms (e.g. Tomcat) and development languages (e.g. Javascript, Java, C#, .NET)
Desirable Skills
30. ITIL V4 foundation certificate or similar
31. Experience working in an agile environment
32. Scrum certification
Education & Experience
33. Ability to work with and influence varying personality types
34. Strength of character to influence/encourage/harass (as appropriate) others to ensure tasks are completed.
35. Eye for quality to ensure work is completed to a standard our clients expect.
36. Organisational skills to juggle the oversight of many tasks at once.
