Executive Assistant to Senior Pastor

Hours: Part-time, 22.50 hours per week (0.60 FTE)
Days: Monday, Tuesday and Thursday (preferred, but negotiable)
Contract: Permanent
Salary: £28,700 per annum, pro rata dependent on experience. Monthly salary based on 22.50 hours is £1,435.00 before deductions (where full-time hours are 37.5 per week).
Summary of role:
You will be responsible for providing administrative and practical support to a senior member of the leadership team in all aspects of their roles and responsibilities. You will be required to represent your line manager in various settings and forms of communication, bearing in mind their faith, preferences, commitments and priorities, and maintain a healthy relationship with those concerned, whether internal or external parties.
Role Specifics:
* Administrative and practical support as required to line manager.
* Assistance with researching and editing talks and other resource material.
* Assistance in drafting, researching and editing key external comms (eg. responses to world events/Christmas messages etc).
* Assist line manager in pastoral and other correspondence and communication.
* Have physical capacity for some manual tasks (e.g. setting up rooms for meetings)
* The role will require occasional flexibility in working hours subject to the nature of the church calendar and line manager's commitments.
* Attend, organise and provide administrative support to Senior Leadership Team (SLT) meetings.
* Attend and organise Strategic Group (SG) meetings.
* Organisation for SLT retreats and 'away times' learning communities.
* Oversee leaders meetings and leaders day organisation (with support from other Executive Assistant staff).
* Oversee and maintain SLT calendar and 'A3 calendar' working with other staff to set key dates across the year, and ensuring that dates align with the ministry calendar.
* Occasionally represent line manager by taking meetings on their behalf.
* Support the line manager in various tasks as appropriate.
Meetings/Groups:
* Attend SLT, SG, and Leadership Team (LT) meetings.
* Attend regular staff meetings, and other meetings as required.
* 'Member' of LT (engagement with SLT and SG on a 'level 1 basis; see policy P02).
* Chair the Sustainability Group.
Key Events:
* SLT retreats and strategic times away.
* Learning Communities (where required).
* Leaders' Meetings & Days.
* Staff Day.
* Vision Sunday – to assist in the gathering of stories and take a lead role in the creation of any media.
* Key events as per 'key events grid'.
* Support line manager at occasional key events as an when required and agreed (eg. keep free weekends).
Administration:
* Organise meetings, set up rooms, attend meetings, take notes and action points at the request of the line managers.
* Organise travel arrangements at the request of line manager.
* Manage diaries for line manager (including birthdays of direct reports).
* Manage expenses for the line manager.
* Represent line manager in correspondence (emails, phone calls, requests).
* Liaise with visiting speakers.
* Drafting, editing and delegating some key correspondence on behalf of the Senior Pastor(s), such as pastoral and personal enquiries addressed to the Senior Pastor(s).
* Have an awareness of upcoming dates and activities affecting line manager including VCUKI and local church events.
* To recruit team where needed.
Personal Development & Investment in Others:
* Support and invest in the group of Executive Assistants and Personal Assistants.
* Complete all training as required.
* Meet for regular one-to-ones with your line manager.
* Complete an annual performance review with your line manager.

Experience:
* Managing a team, preferably within a church setting.
* Working as part of a team.
* Up to date understanding of adult safeguarding procedures and GDPR Requirements.
* Some working knowledge of budgets and budgetary control.
* Pioneering projects and initiatives involving substantial resources and large numbers of people.
* Galvanizing people around new projects and ideas.
Qualifications:
* Theology qualification (desired)
* Computer literate in Microsoft Applications, internet, databases
Other requirements:
* Loyal to the Senior Pastor, Senior Leadership Team, Trent Vineyard and the Vineyard Churches movement
* Committed to and demonstrate knowledge of the vision, values, beliefs and ethos of Trent Vineyard
* Attend Trent Vineyard as an active member of church
* Willing to submit a DBS Check.
* Able to work Sundays
* Willing to work some evenings and weekends to facilitate ministry related events.
* Be a practicing Christian*
