An exciting opportunity to join the Project & Project Management team to co‑coordinate and ensure the high quality, efficient and timely delivery of the Projects (Capital & Non Capital) on a day‑to‑day basis, while coordinating within Trust policies and procedures. The role will maintain the capital financial ledger, recording orders raised and invoices returned to ensure accurate records and financial control.
The position is 30 hours per week.
Responsibilities
* Provide efficient and professional administrative support to Senior Managers and Project Managers as required.
* Maintain the department register to ensure Project Managers comply with Trust Policies & Procedures.
* Manage administrative support to ensure consistent and efficient systems are in place and workloads are efficiently managed.
* Maintain the capital financial ledger, recording orders raised and invoices returned to ensure accurate records and financial control.
* Use Microsoft Excel to support the management with records and data.
* Create and adhere to efficient systems related to the Capital program of work.
* Ensure Health & Safety procedures are compliant.
* Assist with departmental communications.
* Deal with all departmental incoming and outgoing correspondence.
* Handle internal/external enquiries politely and effectively, serving as the initial contact for calls and visitors, taking messages and ensuring they are passed to the relevant person with tact, diplomacy, and sensitivity.
* Be proactive in improving office systems and procedures for greater efficiency, suggesting improvements within office/department procedures.
* Support implementation and use initiative to ensure daily tasks and ongoing workloads are prioritised and completed within agreed time frames.
* Provide general office duties, including creating and maintaining systems to manage information, providing general secretarial services, and general reception duties.
* Support the P&PM team with meeting support: arranging meetings, preparing agendas, and generating minutes/action logs.
