Overview
We are seeking to appoint a Pathway Administrator to join our friendly team in the Neurosurgery Administration department at the John Radcliffe Hospital. The role involves handling telephone and face‑to‑face queries, ensuring the smooth running of the department, monitoring the patient pathway, and providing full administrative support to consultants and their teams.
Responsibilities
1. Designated point of contact for consultants and clinic teams, overseeing workflow consistency across the service.
2. Work closely with each admin team member, understanding roles and coordinating cover during leave and sickness.
3. Proactively and efficiently manage telephone enquiries from patients, carers, GPs, and other service users.
4. Understand the patient pathway and manage new and follow‑up appointments to ensure patients progress effectively through the 18‑week pathway.
5. Actively manage and maintain the 18‑week RTT pathway, completing monthly validation and monitoring outpatient & inpatient PTL.
6. Oversee clinic appointment booking for new patients via the ERS directly‑bookable system and liaise with the Assistant Service Manager on capacity issues.
7. Handle all correspondence, ensuring urgent matters are dealt with properly and paperwork is scanned promptly onto patient electronic notes.
8. Oversee transcription of clinic letters, general correspondence, and reports, ensuring checks, error rectification, and dispatch within deadlines.
9. Process patient referrals according to Trust procedures, registering details and scanning referral letters into electronic notes.
10. Check future clinics regularly, agreeing cover with the medical team and proactively addressing under‑ or over‑booking issues.
11. Obtain necessary diagnostic tests and hospital notes for clinics as required.
12. Understand the complaints procedure and resolve complaints from patients and others, escalating when necessary.
13. Liaise with the Assistant Service Manager to manage clinic cancellations or closures, informing patients and arranging new appointments.
14. Perform any other duties as requested by the Assistant Service Manager.
Essential Criteria
* Competence in use of various computer software packages; EPR trained (training available).
* Previous experience in an administrative role; previous NHS experience.
* Ability to work effectively as part of a team.
* Experience dealing with stressed or upset individuals in an empathetic manner.
Desirable Criteria
* Familiarity with NHS performance targets.
* Evidence of interacting with a wide range of people.
Additional Requirements
All patient‑facing staff must be fully vaccinated against COVID‑19 by 1 April 2022. Unvaccinated staff will not be able to continue in this role.
