About the Role
The primary function of this role is to keep offices running smoothly on a day-to-day basis by carrying out a range of administrative, office management and business operational support tasks. May also be involved in a range of activities, including leading on health and safety, supporting cross-function administration, to assisting with HR activities from time-to-time.

Job responsibilities include, but are not limited to:
General administration
* Dealing with ad-hoc office correspondence and queries
* Managing databases and company suppliers in terms of renewals (e.g. vendor management)
* Managing the office meeting room bookings, and preparing the meeting rooms for external visitors
* Organising internal and external company events or activities; leading on, or partnering with Sales, HR or Marketing where appropriate
* Booking transport & accommodation, where necessary
* Supporting with executive administration as necessary
Office management for all QML sites
* Maintaining office supplies, equipment and provision; including refreshments, ordering equipment as necessary for new starters and existing employees; updating the asset management list
* Ensuring the office remains clean and tidy
* Managing any external contractors, including cleaners, builders building management, where appropriate
* Working with IT to ensure our staff have correct IT and desk equipment set ups
Health & Safety
* Maintaining all H&S provisions required on all sites
* Ensuring that necessary risk assessments take place, and actions followed up on, in partnership with HR where appropriate
* Ensuring that health and safety policies are up to date
New Starter Orientation for Office & IT needs
* Ordering new stater IT & workstation equipment, in partnership with IT department
* Orientating new starters on day 1 when they first arrive, providing an office induction & supporting with IT set up
Supporting other department with reasonable administrative tasks, only where capacity to support exists, including but not limited to;
* Recruitment administration
* Learning, Development & Training administration
* Internal Communications and Engagement

Qualifications and Experience
* Bachelor’s degree in business administration, communications, or a related field; or equivalent work experience
* Experience with office software (e.g., Microsoft Office Suite, project tracking systems like Monday.com or Jira)
* Experience in health and safety management
* Experience managing an office or similar, ideally 1-3 years
* Experience in administration, ideally 1-3 years
* Experience in leadership, purchasing, planning, coordinating, or contract administration
* Experience in event planning and management
* Experience in budgeting and financial planning
