About the Company
We are working with an established and fast‑growing beauty brand specialising in product development and wholesale, supplying retailers and partners across the UK and internationally. This is a busy, varied business where no two days are the same – and the person who keeps the engine running matters enormously.
This is a core office administration role for someone who takes genuine pride in keeping things organised, running smoothly and one step ahead. You'll be the operational backbone of a small, fast‑moving team – managing the day‑to‑day admin that makes everything else possible.
Role & Responsibilities
Administrative Operations
* Managing phones, emails and correspondence – triaging, responding and flagging where needed
* Diary and calendar management, scheduling meetings and coordinating travel arrangements
* Data entry (knowledge of Excel is a must)
* Maintaining accurate electronic and physical filing systems
* Supporting internal communications and keeping information flowing across the team
* Processing orders and invoices and assisting with expense reimbursements
* Basic data entry and reconciliation support (knowledge of QuickBooks Premier beneficial)
* Monitoring and replenishing office supplies
* Preparing and compiling data for management reports
* Liaising with UK retailers, suppliers and partners to ensure timely communication
* Compile data for regular management reports; monitoring key metrics (stock levels, order cycle time, freight costs)
* Support audit readiness with organised records
Logistics & Compliance
* Supporting stock reconciliation, picking lists and quarterly/annual stock takes
* Assisting with shipping documentation (invoices, packing lists, bills of lading) and coordinating with freight forwarders where required
* Entering orders, tracking shipments and resolving issues
* Maintaining supplier and customer records in line with GDPR requirements
About You
* Proven experience in an office administration role – you've done this properly, for a good stretch of time, and you're good at it
* Exceptionally organised with strong attention to detail
* Proficient in Microsoft Excel and comfortable with general IT systems
* Experience in a product‑based, wholesale or logistics environment is a bonus, not a dealbreaker
* You will be excited by working in a fast‑paced environment, liaising with internal teams to support the UK operations
* A proactive and solutions‑oriented person who has strong attention to detail
* Be fluent in Microsoft Excel
