Job Responsibilities
Event Planning and Development
* Liaise with Senior Management, Head of Marketing & Communications, and internal teams to define event and project requirements and develop proposals.
* Map out the annual Events Calendar and coordinate with internal teams to set direction and manage expectations.
* Build strong, effective relationships with key stakeholders.
* Promote events such as networking events, workshops, and conferences, ensuring sponsors are aligned and funding is secured to meet event costs.
* Utilise project management tools like Gantt charts to ensure smooth planning and record-keeping.
* Produce detailed event proposals covering timelines, venues, suppliers, and legal obligations.
* Research venues, suppliers, and contractors; negotiate prices and arrange contracts.
* Manage each activity, ensuring briefings, updates, and progress monitoring.
* Organise committee meetings as needed, tracking progress and actions.
* Engage with sponsors and business partners, developing a pipeline of supporters.
* Plan for insurance, legal, health, and safety obligations.
Delivery
* Coordinate suppliers, colleagues, and guests on the event day to ensure smooth operation within budget.
* Organise facilities such as parking, traffic control, security, first aid, hospitality, and media support.
* Oversee venue dismantling and cleanup.
* Anticipate and manage risks, preparing contingency plans.
* Address concerns from facilitators, participants, and stakeholders.
* Record activities for success measurement and evaluation.
Evaluation
* Produce post-event evaluations to inform future planning and meet sponsorship or funding conditions.
* Collaborate with marketing to document attendance figures.
* Gather testimonials from attendees and sponsors.
* Document lessons learned, both positive and negative.
