As part of our growing logistics team, we are looking for a highly organised and adaptable Logistics Administrator to coordinate daily transport activities, maintain dispatch accuracy, and support smooth operations from warehouse to customer.
Key Responsibilities
* Handle haulier queries via phone and email
* Liaise with warehouse and hauliers to manage loading times and delays
* Collaborate with Procurement to organise yard and trailer movement
* Send daily load requests and check load plans with hauliers
* Upload load schedules into DEM and allocate stock accordingly
* Ensure dispatch paperwork is added accurately to OTIF tracking
* Liaise with Accounts to release credit-hold orders for dispatch
* Manage urgent/rush delivery requests with hauliers
* Coordinate movements into/out of external warehouses (e.g., Dales WH)
* Book and organise technical transport requests
* Book and upload paperwork to transport portals (e.g., Langdons, Culina)
* Keep customer contact information up to date for transport partners
* Create pre-advice and manage routing with SCM and Sales teams
* Send dispatch notes to customers on request
* Book weekly Dolav/Pallet collections and handle related reconciliations
* Allocate, confirm, and adjust booking slots
* Book deliveries into external storage and manage stock call-backs
* Monitor and manage trailer movement for yard efficiency
* Approve and resolve invoice quantity discrepancies
* Book offsite deliveries and carry out reconciliation activities
* Monitor yard, trailers, and waste aggregate figures
* Ensure timely submission of dispatch notes to Accounts
* Check goods-in paperwork and report any discrepancies
* Perform dispatch checks and assist in manual order dispatch (as needed)
What We're Looking ForKnowledge & Experience
* 2+ years in logistics, transport coordination, or warehouse administration
* Understanding of supply chain processes, stock control, and warehouse ops
* Experience liaising with hauliers, warehouse teams, and procurement
* Strong knowledge of delivery paperwork including load plans, dispatch notes, and OTIF
* Familiarity with transport portals such as Langdons and Culina
* Experience with invoice approval and discrepancy resolution
* Understanding of external warehousing and reconciliation processes
Skills
* Excellent communication skills (written and verbal)
* Strong admin and organisational skills – comfortable managing bookings, paperwork, and schedules
* High attention to detail, especially with documentation and transport records
* Effective problem-solving abilities – can handle delays, rush orders, or errors
* Proficient in Excel, transport portals, and general office systems
* Able to prioritise and multitask in a fast-paced environment
* Good numeracy skills for checking allocations, invoices, and transport quantities
Qualifications
* GCSEs or equivalent in Maths and English (minimum)
* Logistics/Transport qualification (desirable but not essential)
