Job Description

Title: Executive Admin Assistant

Job type: Permanent FT 40 hours

Location: Egham

Working model : Up to 5 days in office depending on business requirements

About The Role

* The Executive Assistant plays a crucial role in providing high-level administrative support to executives or senior management within an organization.
* This position requires exceptional organizational skills, discretion, and the ability to handle sensitive information with confidentiality.
* The Executive Assistant acts as a primary point of contact for internal and external stakeholders, managing communication, schedules, and administrative tasks to ensure the efficient operation of the executive's office.

Essential Job Responsibilities

* Manage and maintain executives; schedules, including arranging meetings, appointments, and travel logistics.
* Act as the primary point of contact for internal and external stakeholders, including screening and prioritizing phone calls, emails, and other correspondence.
* Prepare and edit documents, presentations, and reports for executives, ensuring accuracy and professionalism.
* Coordinate and facilitate meetings, conferences, and events, including scheduling, agenda preparation, and logistics coordination.
* Conduct research and compile information on various topics as requested by executives, providing insights and recommendations as needed.
* Handle sensitive and confidential information with discretion, maintaining confidentiality at all times.
* Anticipate the needs of executives and proactively address them, ensuring their time is used efficiently and effectively.
* Manage expenses, process invoices, and assist with budget tracking and financial reporting as required.
* Assist in the on-boarding and orientation of new executives, providing support and guidance during the transition period.
* Collaborate with other members of the administrative team to ensure seamless operations and provide backup support when necessary.
* Perform other duties and special projects as assigned by executives or senior management.

Qualifications

* Business administration, or a related field preferred, or an equivalent combination of education and relevant experience of 5-7 years .
* Exceptional command of English language is necessary
* Proven experience as an executive assistant or similar role, supporting senior executives or management teams.
* Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
* Strong interpersonal and communication skills, with the ability to interact professionally with individuals at all levels of the organization.
* Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
* Discretion and confidentiality in handling sensitive information and dealing with confidential matters.
* Attention to detail and accuracy in all aspects of work, including document preparation, data management, and communication.
* Adaptability and flexibility to respond to changing priorities and demands, demonstrating a proactive and problem-solving mindset.
* Ability to work independently with minimal supervision while also functioning effectively as part of a team.
