Responsibilities
* Provide Executive Assistant support to the SRE EMEA Partners in their oversight of a 40+ FTE team based in London and covering Europe. Maintain comprehensive knowledge of SRE administration and operational areas to ensure smooth collaboration within the London administrative team.
* Coverage: support SRE EMEA Partners’ investment and business activities across Europe.
* Travel: anticipate and support the travel needs of those under your responsibility. Research and present travel options when requested; ensure all required visas are secured and passports are valid; liaise with the company travel agent to book and confirm travel.
* Expenses: support the senior team with expenses, collect required receipts and codes, enter them into Concur, and manage the full expense process until payment and refund.
* Diary Management: coordinate calendars between the Partners, manage conflicts, schedule conference calls and in-person meetings, and confirm external meetings with those under your responsibility before scheduling.
* Conferences: manage needs of those under your responsibility, identify attendees, confirm availability, register attendees, share full agendas in advance, and arrange travel. Manage Teams Weekly Calls, agendas, and related work.
* Meeting administration: schedule regular meetings (weekly at a minimum), manage deadlines, collect and circulate meeting materials, secure appropriate conference rooms/lines, and ensure invitations are sent and confirmed.
* Ad hoc support: respond to unexpected situations for those under your responsibility.
* Organise London Real Estate Team events and off-sites.
* Collaborate with Shared Services Admin to ensure a smooth front-of-house experience; greet and guide visitors when the team admin is unavailable; manage audio/video in meeting rooms; coordinate catering as needed; manage printing/binding/downloading of presentations; provide general administrative assistance as required.
* Provide full support for hosting visiting clients when the assigned team admin is unavailable.
Qualifications
* Minimum 10 years' work experience including with senior teams and multiple coverage responsibilities.
* Demonstrates flexibility to adapt to last-minute changes.
* Highly organized, approachable, and an articulate communicator.
* Confident communication skills including the ability to interact with all levels of management, clients, and guests.
* Outgoing team player, eager to organize and participate in SRE team events.
* Ability to multi-task and prioritize projects.
* Exercises good judgment regarding confidential information.
* Familiar with Outlook and Microsoft Office applications (Word, PowerPoint, Excel).
* Willingness to work a flexible schedule, including five days in-office presence, with occasional flexibility to work from home on Fridays.
