Your Duties will include:

* Maintain accurate and complete financial records of the home in line with Company Policies and Procedures, using both computer and manual systems.
* Prepare and issue regular reports within prescribed timescales.
* Process receipts of monies against resident accounts and maintain accurate records.
* Prepare and submit relevant resident financial information to the Finance Department for accurate and prompt invoice production.
* Ensure continuity of payroll.
* Maintain staff attendance records and ensure rotas accurately reflect hours worked.
* Maintain complete files for residents and staff in line with policies and procedures.
* Provide administration and secretarial support to the Home Manager, e.g., typing, filing, correspondence, within prescribed timescales.
* Operate and maintain office equipment such as fax, photocopier, and computers, calling in external assistance when required.
* Answer telephone queries from residents and visitors, redirecting enquiries efficiently and courteously.
* Maintain stationery stocks, including forms used regularly.
* Order and record staff uniforms and badges where required.
* Follow processes and flowcharts provided by Head Office, ensuring timely communication regarding invoices.
* Ensure Caresys/Resourcelink is fully optimised to capture relevant information, including enquiries, new starters, resident move-ins/outs, and fee changes.
* Prepare for new move-ins, ensuring relevant preparations are communicated.
* In the absence of a receptionist, perform duties such as greeting visitors, answering calls, maintaining the reception area, and general HR duties including recruitment, onboarding, right to work checks, and references, in line with Safer Recruitment Policy.

To be successful in this role you will need:
* Confident, outgoing personality with a sales-oriented approach to assist the viewing process.
* Proficient in Microsoft Word, Excel, and PowerPoint.
* Excellent written and verbal communication skills.
* Highly organised with the ability to manage time effectively and work independently to drive referrals and improve occupancy.
* Professional appearance.
* Ability to meet tight deadlines and pay attention to detail.
