We have a fantastic position available to start as soon as possible to work within an established PMO that supports the directorate capital portfolio of projects and property function.

We seek a highly skilled and motivated Programme Management Office Officer to play a vital role in supporting the Trust's extensive property portfolio and delivering its significant capital investment programme. Reporting to the Capital Development and Property Programme Management Office (PMO) Manager and based at the Royal Sussex County Hospital, this post is best suited to organised and detail-oriented professionals, offering the right person the chance to play their part in delivering transformational change in support of our excellent clinical services and patient care.

Main duties of the job

About you:

The post holder will be educated to a degree level or equivalent, ideally in Project Management or Business Administration, with relevant experience in programme/project progress reporting, scorecards, dashboards, and metrics. You will work closely with our Project Managers and stakeholders, supporting complex projects and continuous improvements to our project execution and reporting processes. We are committed to continuous improvement at all layers and seek individuals with clear evidence of continuing professional development. They shall form part of a comprehensive PMO function, which supports the department's portfolio of projects.

You will have proven skills in effective communication and understand the importance of stakeholder relationships. The successful candidate will have a knack for coordinating complex programmes and be passionate about implementing effective project management practices.

Main Duties and Responsibilities:

Communication:

- Foster effective and supportive relationships with operational teams and external stakeholders to enable the delivery of agreed outcomes.
- Develop strong and supportive working relationships with both operational and corporate teams.
- Work with multi-disciplinary teams across the Trust to deliver agreed outcomes.

Analytical and Judgmental Skills:


- Analyse projects by monitoring various project and programme logs.
- Manage project meeting schedule, making decisions about priorities and balancing conflicting requests.
- Develop and maintain effective and efficient office systems.

Planning and Organisational Skills:


- Plan and prioritise personal and project teams' work.
- Manage competing and changing priorities to ensure Programme outcomes are achieved.
- Identify and plan personal professional development needs.
- Undertake training to support continuous improvement and lean skills development.
- Contribute to and ensure compliance with best practice project management.
- Provide regular reports to the capital and projects committees.
- Prepare reports and provide evidence of governance regarding all activities undertaken.
- Apply best practice project, change, and workforce management to the PMO corporate projects programme.
- Advocate for excellent project delivery.
- Support and encourage innovation in service delivery.
- Continuously work towards improving the quality of service to the Trust.

People Management and Development:

- Contribute to the training of new staff members within the department, as required.

Patient Care Delivery:

- Incidental patient contact.
- Carefully manage and phase capital projects.

Learning and Development:

- Attend mandatory training updates as required.
- Engage in necessary training in accordance with the development of your role.

Qualifications and Skills

Essential criteria

1. Educated to degree level or equivalent in office management and/or business administration with the ability to provide a comprehensive ‘Programme Management Office’ function in support of the departments programme of work.
2. Relevant experience in financial management and supporting complex projects and/or teams, and have clear evidence of continuing professional development.
3. Proven skills in effective communication and an understanding of the importance of stakeholder relationships.
4. Proficiency in Microsoft Office packages including Excel and Word.

Desirable criteria

5. Experience of supporting a complex project or programme.
