About the Role Level : 4 Department: Change Location : Southampton Contract type : Fixed Term Contract- 6 Months The Project Specialist supports the management of Quilters Change Portfolio by ensuring compliance with change management standards and alignment with strategic goals. The specialist oversees resource allocation, tracks budgets, reviews data quality, and translates information into actionable insights for executive decisions. Key Responsibilities: Project Governance, Standards and Assurance Contributes to and maintains the approach and controls to Change Management governance and delivery, including process, tools, methodologies and systems. Assists Project Managers in following Change Management frameworks and methodology, promotes consistency and best practices, and promptly escalates issues when standards are not met. Drives positive change, enhancing the framework and processes to better support the team and the wider organisation. Assists with putting Change standards into practice and provides continued education and assurance. Delivers training as needed to ensure the Change community maintains a consistent understanding of these standards. Supports and helps to foster a culture of progress and adaptability across the change community, ensuring that the Change Management Office consistently delivers value and remains agile in meeting future challenges. Change and Project Support Supports the deployment of the Change Management Framework including associated policy, standards and metrics, providing guidance to stakeholders to ensure effective implementation. Provides centralised and consistent support to project teams including subject matter expertise for the Change Management Office processes, tools and methodology. Supports the Change Management risk identification, prioritisation and mitigation process ensuring risk and issue management is applied as an integral part of the governance cycle for change management. Tracks and monitors risk exceptions to ensure control deviations are identified and mitigating controls are in place. Inputs into the development of a metrics based, single source of the truth for Change Management from which to take decisions, including size, scale, cost and risk indicators. Reviews, challenges and evaluates activity across programmes / projects ensuring integrity of the overall model is maintained and highlighting where conflicts and contention exist. Monitors project / programme progress against key governance milestones, facilitating the management of risks and post project review actions across the change portfolio, escalating significant issues as appropriate. Builds strong, collaborative relationships to support Change initiatives and maintains positivity under pressure. Proactively identifies opportunities, takes ownership, and drives tasks forward with optimism, accepting responsibility for results without needing direction. Management Information (MI) and Reporting Inputs into the reporting of integrated plans and milestones. Monitors and analyses programme and project information, reporting progress, costs, resources, slippage and highlighting areas of risk and opportunity. Monitors and reports on governance, risk and compliance status. Co-ordinates, collates and reports on outcomes from project assurance activities with appropriate escalation in a timely manner. Monitors budgeting and forecasting cycles and ensures costs are accurately tracked. Identify and report on financial trends. Provides portfolio updates and regular communication to key senior stakeholders to ensure support and engagement with the function. Maintain and administer the project management tool, ensuring its ongoing accuracy and reliability. Proactively identify, and subject to approval implement enhancements to optimise tool functionality, user experience, and data quality. Collaborate regularly with stakeholders to gather feedback, address issues, and champion best practice in project reporting and data management. About You Knowledge, Skills & Experience: Supporting the Change Management Office Manager with high priority actions, experience in a Project Management Office essential. Would suit a dynamic individual who is comfortable working in a fast-paced environment without the need for constant supervision. Confident team player must be comfortable working across portfolio teams. Must have excellent communication skills. Must have intermediate Excel skills as minimum. Basic Power BI skills preferred but not essential. Comfortable utilising AI where appropriate. At least five years of practical experience in a project management office or as a project professional within the Financial Services Wealth and or Asset Management sector.
