The Mattel Global Consumer Products team manages licensed product development around the world for Mattel brands.


The Opportunity

The Facilities Coordinator will be responsible for the day to day facilities coordination of the Mattel UK office, and will take ownership of and run the operational management and delivery of all Facilities Management services within the UK business including Health and Safety. The Facilities Coordinator will also have the opportunity to support the Manager EMEA Facility & Workplace on region-wide initiatives, policies and compliance.

This is a full-time out-sourced office-based role; the working hours are as follows:

1. 8am – 6pm Monday to Thursday (1 hour unpaid break)
2. 8am – 1pm Friday (no break)

Job shares of the following pattern will also be considered:

3. 8am – 1.30pm Monday to Friday (30 minutes unpaid break, excluding Friday’s)

Or

4. 1pm – 6pm Monday to Thursday

This is a 3 month contract with the possibility for extension.

The Role:

Workplace / Facilities Coordination

5. Experience supporting office or workplace operations in a corporate or professional environment
6. Coordinating maintenance requests and vendor visits
7. Managing service contracts (cleaning, waste, security, catering, etc.)
8. Supporting space planning or desk/meeting room management
9. Monitoring facilities budgets or processing invoices
10. Handling building access, security passes, and visitor systems

Front of House / Reception

11. Professional reception or front desk experience
12. Greeting and assisting visitors in a corporate setting
13. Managing visitor logs and access protocols
14. Handling incoming calls and directing inquiries
15. Supporting meeting room bookings and hospitality arrangements
16. Maintaining high presentation standards in lobby and shared spaces

Mailroom / Logistics

17. Managing incoming and outgoing mail and courier services
18. Logging and distributing internal mail and packages
19. Coordinating courier pickups and deliveries
20. Maintaining records of tracked shipments
21. Handling confidential or sensitive deliveries securely


What We’re Looking For:

22. 2 – 4+ years’ experience in facilities coordination
23. Experience in a fast-paced, multi-site or global organization
24. Experience working with property management or landlords
25. Event coordination support (internal meetings, town halls, office events)
26. Experience implementing workplace improvements or process enhancements
27. Ability to manage competing priorities
28. Strong attention to detail
29. Proactive problem-solving skills
30. Ability to work independently with minimal supervision
31. Understanding of workplace health & safety standards
32. Discretion when handling confidential information
33. Strong sense of responsibility for building security and protocols
34. Ability to remain calm under pressure and have a hands-on, solutions-focused attitude
35. High reliability and punctuality
36. Team-oriented with a collaborative approach
37. Professional, polished front-facing presence with the ability to engage with employees, executives, vendors, and visitors with an approachable and professional demeanour
38. Excellent verbal and written communication skills
39. Strong service mindset

Technical Skills:

40. Proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
41. Calendar and meeting room management systems
42. Basic financial administration (POs, invoice processing, budget tracking)
43. Familiarity with visitor management systems
44. Experience using facilities/workplace management systems (e.g., Condeco, Envoy, ServiceNow, FM software)
45. Facilities Management software is preferred
46. Health & Safety reporting systems is preferred
47. Basic knowledge of building systems (HVAC, fire alarms, access control) is preferred
