Executive Assistant and Business Support Officer
We are seeking an organised and proactive Executive Assistant to provide administrative and operational support across three associated property businesses:
* A property management company
* A property investment company
* A property inventory and inspection company
This is a great opportunity to immerse yourself in an award winning group of property companies. This role is ideal for someone who enjoys variety and responsibility. You will work directly with the Director, handle day‑to‑day administration, assist with projects, and provide cover for other team members during leave periods.
The hours: Monday to Friday, 5 hours a day, office‑based, total 25 hours a week. Flexible on start and finish times.
Responsibilities
* Maintain organised digital and paper filing systems across all companies.
* Handle confidential and business‑sensitive information with discretion.
* Liaise with accountants, solicitors, contractors, and external partners.
Business Operations
* Property lettings & management – deal with overflow of lettings, arrange viewings, negotiate, issue contracts, and respond to tenant queries.
* Property management – rent & service charge collections.
* Track and update property management documentation and compliance records.
* Assist with property investment research, scheduling, and transaction support.
* Property inventories – coordinate inventory appointments, manage job tracking, and client communication.
* Handle new and existing client appointments, coordinate other staff.
* Issue invoices and reconcile payments.
* Support general office administration: utilities, insurance, licensing, renewals, shared spreadsheets and business databases.
* Provide administrative cover for colleagues during annual leave or busy periods.
Key Skills
* At least 2 years experience within property management, lettings, or real estate administration.
* Excellent computer skills, numerate and literate; multi‑tasking, independent work, team collaboration.
* Attention to detail, strong time‑management, organisational ability.
* Good work ethic.
* Confident communicator with strong written and verbal English.
* Proven experience as a PA, Executive Assistant, Office Manager, or similar role.
* Competent with Microsoft Office / Google Workspace and general IT systems.
* Professional, trustworthy, adaptable – comfortable across multiple businesses.
* Use of your own car would be useful.
