You will be instrumental in coordinating the Principal’s extensive schedule, including national and international travel, and ensuring seamless execution across all areas of her lifestyle. Key Responsibilities Serve as the first point of contact for the Principal Manage business diary, appointments, travel arrangements, and reservations Accompany the Principal, her family, and guests on trips, ensuring five-star service Open, sort, and file correspondence; respond to routine communications Coordinate lifestyle activities such as restaurant reservations, entertainment bookings, and bill settlements (with support from the Private Assistant) Schedule and attend meetings, take minutes, and maintain accurate records Greet the Principal and guests during travel transitions (airports, transport hubs, etc.) Liaise with global service providers—flight crew, concierge, EAs, drivers, security—to ensure smooth travel experiences Coordinate personal preferences across travel modes, hotels, and leisure activities Oversee pre-arrival arrangements (e.g., hotel room set-up, beauty appointments, travel pouches) Supervise housekeeping and ensure high standards in personal spaces Assist with detailed travel itinerary planning Draft professional documents and presentations using appropriate software Manage errands including shopping and gifting Build strong, supportive relationships across the Principal’s travel and lifestyle network Oversee packing and unpacking of luggage for the Principal and her family Work closely with the Wardrobe Stylist to maintain and catalogue the Principal’s wardrobe Source specific clothing or accessories as requested Ensure seasonal organisation of wardrobe and condition of all items Coordinate hair and makeup sessions and reference looks Communicate styling preferences with Housekeeping and Ladies' Maids prior to events Perform any other reasonable duties as required Personal Specification Category Criteria Essential (E) / Desirable (D) Qualifications Professional administrative qualification D Valid DBS certificate E Experience Luxury concierge or similar service background E High-demand, high-pressure environment experience E Wardrobe/stylist management experience E Strong communication and admin skills E Personal Attributes Highly self-motivated and responsible E Willingness and flexibility to travel internationally at short notice E Ability to follow instructions meticulously E Honest, discreet, and professional E Positive, adaptable “can-do” attitude E Pride in work, strong attention to detail E Strong organisational and team skills E Humble, efficient, and proactive E
