This is a role for someone who gets genuine satisfaction from structure, precision, and seeing everything run like clockwork — but who also cares deeply about the people behind the process.If you're known for your lists, love a plan that runs perfectly, and thrive when spinning multiple plates — you'll fit right in.⸻Purpose of the RoleTo provide world-class operational, administrative, and logistical support to ensure that our trainers, clients, and programmes run seamlessly — every time.This is far more than a typical coordination role. It's for someone who wants to grow with the business and build a career as part of a fast-developing, international organisation. As we expand, your role will expand too — taking on more responsibility across operations, marketing, and digital learning.We'll provide full training and development across all areas, but you'll need a natural appetite for learning, an analytical and caring mindset, and the ability to handle a wide range of tasks calmly and professionally.⸻Key Responsibilities1. Travel & Logistics Management Plan and manage all travel across the UK and occasional international trips (flights, trains, accommodation, car hire, taxis). Produce detailed door-to-door itineraries for trainers and consultants. Ensure all logistics are cost-effective, efficient, and error-free. Care enough to check the details — like ensuring boarding passes are uploaded and connections run smoothly. Maintain a central travel log for audit and budget tracking.2. Workshop & Event Coordination Liaise with client venues to ensure all workshops are set up correctly — rooms, tech, materials, refreshments, timings. Prepare and dispatch training materials (workbooks, name badges, flipcharts, stationery). Confirm all pre-event details and be the key contact for any last-minute changes. Ensure every trainer has everything they need to deliver a flawless session.3. Reporting & Client Documentation Collate and format post-training reports for clients. Capture key metrics, challenges, and improvement data from field reports. Maintain tracking documents that evidence value and progress over time. Support account management by producing high-quality follow-up documents and visuals for client reviews.4. Digital Learning & Content Support Assist in developing, uploading, and maintaining our online training platform (Kajabi or equivalent). Coordinate the design, print, and delivery of digital and physical workbooks. Support the Head of Organisational Development in updating resources and creating structured learning content.5. Marketing & Communications Support partnership relationships (e.g., buying groups, federations, associations). Help coordinate social media posts, articles, newsletters, and campaigns (LinkedIn, Instagram, TikTok). Capture and edit short video clips for online courses and promotional content. Assist with exhibition logistics, trade shows, and live events.6. General Operations Maintain master checklists, schedules, and project timelines. Develop internal processes to improve consistency and quality control. Support the senior team with day-to-day administrative excellence and deadline management. Manage competing priorities and handle multiple projects simultaneously without dropping the ball.⸻About YouYou'll be a natural organiser — methodical, calm, and always two steps ahead — but also empathetic and people-focused. You care about the detail because you care about the people it affects.You'll bring: A proven background in logistics, operations, or project coordination. Outstanding attention to detail and accuracy — nothing gets missed. A cool, analytical mindset balanced with genuine care and empathy. Strong written and verbal communication skills. High competence with Microsoft Office / Google Workspace (especially Excel, Sheets, and Docs). Confidence liaising with clients, venues, and suppliers professionally. A proactive, can-do mindset — you anticipate problems and prevent them. Ideally, experience in managing creative or training projects. Bonus: familiarity with Kajabi, Canva, CRM systems, or video-editing tools.⸻Personality FitYou're probably an analytical blue — structured, dependable, and proud of delivering excellence quietly in the background while others take the spotlight. While the majority of work will be home-based, there will be occasions where travel across the UK — and potentially internationally — is required at short notice.
