What you'll be doing
Culture, Compliance & Continuous Improvement
* Contribute to a positive, inclusive office culture, working with HR on engagement and wellbeing.
* Support ISO programmes through documentation and audit prep.
* Identify ways to improve processes, systems, and sustainability (e.g. recycling, energy efficiency, wellbeing).
* Maintain accurate records across shared systems, ensuring GDPR and policy compliance.
Operational & Business Support
* Assist with admin tasks, purchase orders, invoice coordination, and budget monitoring.
* Support onboarding of new Head Office colleagues (desks, IT, systems).
* Coordinate internal/external events (training, meetings, staff gatherings).
* Manage meeting room bookings, visitor sign-in, and reception processes.
* Maintain supplier relationships and negotiate rates for best value.
* Monitor travel/accommodation spend, identify savings, and improve booking visibility.
* Act as central contact for travel/accommodation across Horizon Parking and AEJ Management (including Head Office, satellite, and field teams).
Executive & Board Support
* Handle confidential correspondence and documents professionally.
* Manage distribution lists, contact databases, and Board schedules.
* Arrange meetings, client visits, and hospitality for senior leaders.
* Provide flexible, high-quality PA support to Group Board Directors (diary, travel, agendas, board packs, minute-taking).
Office & Facilities Management
* Keep facilities and compliance documentation up to date (ISO, fire safety, PAT testing, hygiene).
* Lead office safety compliance (fire drills, first aid, statutory logs/signage).
* Conduct regular inspections for health & safety, cleanliness, and presentation.
* Manage stock levels for stationery, PPE, kitchen, and office consumables.
* Coordinate maintenance, cleaning, and waste contracts.
* Manage facilities (meeting rooms, signage, access, air con, Wi-Fi, alarms, printers, phones) with IT and suppliers.
* Oversee daily operation of Chelmsford Head Office, ensuring it's professional, safe, and welcoming.
This newly created role supports our continued success and provides day-to-day leadership for everything that keeps the office running smoothly. It blends office management, facilities coordination, compliance, and executive/PA support, with responsibility for enhancing the office culture and environment.
