This is a key role within our Procurement team, ensuring vehicles are managed efficiently, records are accurate, and compliance requirements are met. You’ll work closely with Fleet Managers, the People Team, and suppliers to keep operations running smoothly across the business. Fleet Administration & Systems Manage the Fleet Administration inbox, responding to queries and allocating tasks Maintain and update the fleet management system (vehicle additions and removals) Ensure accurate data entry to support reporting and compliance Reconcile monthly in-fleet and de-fleet activity Upload and maintain vehicle documentation (contracts, order forms, etc. Carry out spot checks against the Motor Insurance Database (MIB) Vehicle Logistics & Coordination Coordinate vehicle deliveries and collections within agreed timelines Chase overdue deliveries and escalate where necessary Communicate with Regional Fleet Managers on vehicle movements Process vehicle contract extensions and update internal systems Liaise with suppliers to ensure delivery plans remain on track Compliance, Servicing & Risk Management Support servicing and MOT scheduling in line with requirements Ensure warranty compliance through proper maintenance tracking Act as first point of contact for Penalty Charge Notices (PCNs), including appeals Work with the People Team to ensure driving licence checks are up to date Collaboration & Support Provide general administrative support to the Procurement team Build strong working relationships across departments What We’re Looking For Essential Skills & Experience Strong attention to detail and high levels of accuracy Advanced Microsoft Excel skills and confidence using Microsoft 365 Excellent communication and interpersonal skills Strong organisational and time management abilities Ability to meet deadlines and manage multiple priorities Comfortable working under pressure Able to work independently and as part of a team Strong problem-solving and decision-making skills Additional skills & future focus A high level of competence in Excel and data analytics would be highly beneficial.
