Oatlands Dental Lounge is a leading private dental practice dedicated to providing exceptional patient care in a comfortable and modern environment. We offer a wide range of high-quality dental services, from routine check-ups to advanced cosmetic and restorative treatments. The Role

We are seeking a highly organised, friendly, and professional Dental Receptionist / Administrator to join our expanding and close-knit team, 3-4 days per week. This is a crucial front-of-house role, as you will be the first point of contact for our patients, both in person and over the phone. The ideal candidate will be a compassionate individual with a strong administrative background, excellent communication skills, and a proactive attitude.


Key Responsibilities

* Patient Management:
* Warmly greet and welcome all patients and visitors to the practice.
* Check patients in and out for their appointments efficiently.
* Maintain and update patient records accurately and confidentially, both paper and digitally.
* Handle patient enquiries in a professional, empathetic, and timely manner.
* Book, reschedule, and cancel appointments, managing the practice's diary effectively to ensure a smooth flow of patients.
* Administrative Duties:
* Answer and manage a high volume of calls, directing them to the appropriate team member.
* Process payments and issue receipts for treatments.
* Manage correspondence, including emails and mail.
* Maintain a tidy and presentable reception and waiting area.
* Order and manage office and clinical supplies.
* Assist with the administration of patient finance plans (e.g., Denplan) if applicable.
* Communication & Teamwork:
* Liaise with dentists, dental nurses, and other team members to ensure a seamless patient journey.
* Communicate effectively with patients regarding their treatment plans and appointments.
* Promote a positive and welcoming atmosphere within the practice.
* Support the Practice Manager with ad-hoc administrative tasks as required.


Essential Skills & Attributes

* Previous experience in a receptionist, administrative, or customer-facing role is essential. Experience in a dental or healthcare setting is highly desirable.
* Exceptional communication and interpersonal skills, with a friendly and professional telephone manner.
* Strong organisational skills and attention to detail.
* Proficiency in using dental software (e.g., SOE Exact, Dentally, or similar) is a significant advantage.
* Competent in using Microsoft Office Suite (Word, Excel, Outlook).
* Ability to work independently and as part of a team.
* A calm and empathetic approach, able to handle challenging situations with grace.
* A high level of integrity and respect for patient confidentiality.
