About the role
This is a secondment role, available from 19 January until the end of December. Main purpose of the job• Provide specialist administration to designated UG and PG taught programmes, ensuring effective procedures are adopted and documented for dealing with all aspects of the administration. • Assist in achieving a high quality and timely service to current and prospective students and staff related to taught programmes. • Provide support for all matters relating to the teaching and learning activities of students, from enquiry to completion, including supporting committees and processes relating to assessment, student, and programme records. Duties and responsibilities Student recruitment and admissions • Deal with prospective student enquiries relating to entry requirements and application • Monitor and process student applications, ensuring that they are dealt with in a timely manner • Assist in student recruitment initiatives, including the co-ordination of Open Day events and interviews, as required • Ensure that academic staff are kept informed about student recruitment policies • Work with departmental colleagues and the Faculty Marketing and Communications Team to ensure that the entries in the UCL prospectus, advertising materials, programme handbook and web pages relating to designated programme are accurate and up to date Student induction and support • Co-ordinate start of session arrangements; registration of new students, help create welcome packs, with safety information, timetables and other necessary documentation • Work with senior colleagues and programme teams to set up induction week(s) • Liaise with Student Support and Wellbeing Services in seeking appropriate assistance for students requiring specialist assessments and support • Support students who need to submit extenuating circumstances applications
About you
Assessment management • Provide support on various assessment tasks including processing final marks, producing mark sheets, and supporting marking processes • Collate assessment questions and answers, and format assignments and examination papers, as necessary • Process extenuating circumstances applications • Collect and accurately record coursework marks during the academic session, monitoring student progress during the year and organising redistribution once marked • Assist with arrangements for Exam Boards, including taking minutes, if required Supporting teaching • Work with the Senior Education Administrator and programme teams to create and manage module timetables for all designated taught programmes and liaise with timetabling staff to arrange room bookings • Process and co-ordinate teaching materials, such as programme and module outlines, study packs, and assessments, by liaising with teaching staff and students • Update and brief teaching staff on programme procedures, policies and regulations • Be responsible for uploading and maintaining programme and module content on Moodle • Create and distribute attendance registers to teaching staff as appropriate Programme and records administration • Act as a first point of contact for students and provide information on procedures, regulations, programmes, and module choice • Create and maintain student files • Process course changes, withdrawals and interruptions of study for students • Monitor and record student attendance and engagement • Create and collate responses from module evaluation questionnaires and other student feedback • Liaise with appropriate Faculty and Registry staff in verifying and correcting student records • Produce reports for all designated programmes and modules (to inform committees, funding bodies, external audits, and for UCL and departmental planning purposes) • Work closely with colleagues to review and improve administrative systems which support learning and teaching activities General duties • Liaise with wider UCL teams, particularly the MAPS Faculty Office, Admissions team, Student Registry Services, and Student Support and Wellbeing, to facilitate tasks and student support • Provide cover for EASE colleagues, when required • Advise students on UCL and departmental scholarship information and organise departmental nominations for scholarships, if required • Service relevant committees such as the Departmental Teaching/Education Committee and the Staff Student Consultative Committee, if required • Make arrangements for workshops, meetings, seminars and other events relating to the designated programmes, when required • Provide support for short courses related to the designated programmes, if required • Provide support for professional accreditation of programmes, if required • Keep informed about programme and committee developments, attending and participating in meetings as required • Respond to requests made under the Data Protection Act and Freedom of Information Act relating to designated programmes The role holder will carry out any other duties that are within the scope, spirit and purpose of the job as requested by their line manager or senior education administration and student experience staff.
