Job Opportunity: Personal Assistant within our Commercial and Legal team
We have a fantastic opportunity for a proactive Personal Assistant to join our Commercial and Legal team. The successful candidate will be organized, initiative-taking, and capable of managing various responsibilities across the legal and executive domains.
Responsibilities
Support to the Director
* Provide confidential administrative and PA support to the director and legal team.
* Assess priorities, coordinate meetings, and ensure timely action on issues.
* Organize internal and external engagements, including travel and events.
* Maintain organized files and records, both paper and electronic.
* Prepare reports, background documents, and manage correspondence.
* Handle multiple projects simultaneously, ensuring follow-through.
* Coordinate company and Board meetings, including documentation and communication of decisions.
* Support overseas visits and other professional activities.
* Manage general administrative tasks as required.
Support to the Legal Team
* Contract management: processing, archiving, and document comparison.
* Manage law firm invoices: liaising, approvals, and budget monitoring.
* Maintain legal document storage and update standard forms and guidance.
* Coordinate legal reports and support legal training activities.
Requirements
* Experience in an administration, executive assistant, or PA role in a high-pressure environment.
* Proficiency in diary management, travel arrangements, and stakeholder engagement.
* Proficient with ICT applications: Expert in Outlook, Intermediate in Word, Excel, PowerPoint.
