School Receptionist - FTC until April 2026
Position: School Receptionist - Ashford, Surrey
Hours: Wednesday, Thursday, and Friday, 7:45 AM – 5:00 PM (Term Time only)
Additional Days: 4 additional working days during school holidays
Key Responsibilities
* Greet and welcome guests professionally, courteously, and warmly.
* Answer, screen, and forward incoming phone calls.
* Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
* Direct visitors to the appropriate person and office.
* Compile student attendance information from the School Management Information System, including absences and liaising with the Attendance Officer.
* Handle immediate problems or emergencies in accordance with the school’s policies and procedures.
* Assist with reception cover during school events such as evening Carol Service and Speech Day events throughout the year.
* Provide reception cover if the other receptionist is unable to attend school due to sickness.
* Assist with the school coach service by texting/contacting parents regarding delays due to traffic issues, etc.
* Understand and comply with the school’s equal opportunities and other policies.
* Maintain confidentiality at all times and observe data protection guidelines.
* Ensure the reception area is tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, brochures).
* Provide basic and accurate information in-person and via phone/email.
* Receive, sort, and distribute daily mail/deliveries along with outgoing post.
* Order front office supplies and keep an inventory of stock.
* Order school stationery and keep within the budget.
* Arrange travel and accommodations.
* Keep updated records of office expenses and costs.
* Perform other clerical receptionist duties such as filing, photocopying, transcribing, collating prospectuses, and posting commendation cards.
* Attend all Inset Days.
* Undertake other comparable duties as required by the Line Manager and Head.

* Strong organizational and multitasking abilities.
* Proficiency in using office equipment and basic computer applications.
* Ability to maintain confidentiality and follow data protection guidelines.
