An exciting opportunity has arisen to join the Outpatient Clinics as a Service Support Manager within the Women’s and Children’s Clinical Centre Directorate.

The department operates between 8:30am and 5:30pm, Monday to Friday and the post holder will be required to work 7.5 hours per day across multiple sites including Charing Cross, Hammersmith and St Mary’s Hospital.

About the Role

We are seeking a proactive, enthusiastic and highly organised Service Support Manager to join our dynamic Outpatient Clinics team. In this role, you will serve as the primary point of contact and leadership support for our reception staff ensuring a professional and efficient service.

Working collaboratively with clinicians, nursing teams and administrative colleagues, you will oversee day-to-day operations including staff line management, room bookings and patient query resolution.

Main duties of the job

  • The Service Support Manager leads a defined administrative team to provide an efficient, high quality and patient centred service that supports safe clinical care.
  • In their role as a line manager, the post holder is responsible for creating a positive, inclusive and supportive working environment in which staff feel valued, developed and able to perform at their best.
  • The post holder plans and oversees day to day administrative work, monitors service performance, resolves routine operational issues and escalates complex matters appropriately.
  • They support staffing, communication, service improvement and patient experience, working in partnership with clinical and operational colleagues across the Trust.

    Essential criteria

  • Educated to Foundation Degree level or equivalent level of knowledge through experience or specialist training.
  • Desirable criteria

  • Working in an administrative or service environment in healthcare, the public sector or other complex organisations
  • Experience of leadership behaviours such as giving guidance, providing feedback, supporting performance and handling sensitive situations
  • Experience coordinating and delivering services, including managing competing priorities and meeting performance indicators or targets
  • Experience working with datasets and producing visual summary of key information.

  • Experience handling formal complaints

    Essential criteria

  • Excellent customer service and effective communication with ability to build trust and credibility with staff, patients, and stakeholders
  • Ability to identify, implement and evaluate service improvements and efficiencies, using evidence and feedback.
  • Ability to manage day to day operational challenges both independently and collaboratively
  • Strong digital confidence including use of Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams) and ability to learn NHS clinical and administrative systems

  • Ability to review and update Standard Operating Procedures (SOPs) and communication protocols
  • Ability to contribute to communication plans for service change
