Brief Description Responsible for all processes within and associated to the warehouse (receiving and storage of materials, distribution, sampling, dispensing and staging of finished product/raw materials, internal stock management including cycle count management) using well defined and documented processes/procedures. Whilst being in compliance with H&S (Health and Safety) and cGMP (current Good Manufacturing Practices) requirements. This role will require supervisory tasks to be carried out when deputising for the warehouse supervisor this could include day to day people management responsibilities including individual/team performance management. Interaction and when applicable oversight of third-party logistics partners will be required. Essential Functions/Responsibilities The job holder is responsible for maintaining cGxP and EH&S knowledge applicable to the job. Provides day-to-day leadership in the Warehouse, assisting the Warehouse Supervisor with support and giving direction to the team, this includes dealing with routine staffing matters occurring within their team, referring issues up the line as required. Act as key Point of Contact (POC) for all key stakeholders (groups), in the absence of the Warehouse Supervisor. In the absence of the Warehouse Supervisor, the Lead Materials Coordinator will assume all day-to-day responsibilities, including schedule adherence, batch documentation reviews, any EH&S incidents, personnel issues. Ensure delivery against schedules, for all warehouse processes. To sign as ‘Supervision’ on all Warehouse documentation where required. Ensure all Warehouse batch documentation have been processed in accordance with cGMP and current Jazz procedures. Perform routine micro testing in the 840 Sampling Booth. Authoring and reviewing of batch documentation and Standard Operating Procedures (SOP). Completing/reviewing deviations and change controls that may occur during the running of the Warehouse Department. Liaising with other departments with regards to scheduling, including Supply Chain, Production, Engineering, QC and QA. Training of other Materials Coordinators on new processes/changes to current Warehouse processes. Identifying areas for improvement and implementing these improvements, where applicable across all Warehouse processes/working practices. Completing additional tasks assigned by Supply Chain management that are outside the core duties described above. Operates in accordance with the Jazz corporate values of being patient driven, passionate, innovative, collaborative, accountable, having integrity and achieving excellence. Company annual stock checks and cycle counting. Out of hours call outs for Supply Chain plant alarms. Responsible for all activities/processes are completed OTIF in compliance with cGMP and H&S requirements. The warehouse is subject to visits by senior management, external bodies, regulatory authorities etc. The lead materials coordinator could be called upon to conduct tours of the warehouse facilities and act as an SME. Maintaining the ‘warehouse-controlled drug log’ and producing annual figures. Where required liaising with other departments to ensure figures are correct. Cover when required with the planning and distribution teams to ensure capacity requirements and scheduling needs managed effectively. KPI (key performance indicator) management. Including risk identification, management and mitigation. Manage the completion of cycle counting activities and ensure all monthly/annual figures are produced. Competent use of all electronic system associated with the business – such as, ERP, eQMS etc. Monitor and report warehouse performance and capacity utilisation whilst actively identifying and mitigating risks to continued stock supply. Where applicable the job holder may have to execute additional tasks to meet departmental objectives, example - project-related or developmental/change objectives. Required Knowledge, Skills, And Abilities Carries out their work in a way that will not adversely affect their own, or others’, health, safety and security or the environment and reports any shortcomings in Jazz arrangements. Ensure the maintenance and operation of warehouse management systems and automated storage and retrieval systems is carried out in accordance with manufacturers recommendations. Temperature monitoring and recording of data within temperature-controlled Supply Chain areas and ensuring appropriate action taken for any deviation noted. Ensuring all storage locations under direct control are managed appropriately. KPI analysis and reporting Promotes and drives delivery of continuous improvement initiatives and the elimination of operational wastes within the warehouse. Ensures health and safety, hygiene and security in the workplace environment is adhered and warehouse risk assessments, COSHH assessments and MSDS are current and available. Execution and understanding of electronic business systems. Ensure appropriate standards of cGMP and cGDP within the department are always maintained. Participate as needed in appropriate supply chain operational and continuous improvement projects. Responsible for the delivery of internal warehouse operations in accordance with required SOPs. Goods Receipt activities for all materials at KSP Maintain stock records accuracy and completeness contemporaneously. Sampling and Dispensing of GMP materials. Cleaning and Microbiological Monitoring of the Sampling Booth Calibration of balances and monitoring of room pressures in Sample Booth Delivery of materials required for batch manufacture and handling returned materials. Distribution activities for commercial and clinical products. Completion of cycle counting and provide support for investigation of any discrepancies. Internal stock management - Ensuring all storage locations under direct control are managed appropriately. Weekly and Monthly cleaning of the B840 warehouse Temperature monitoring and recording of data within temperature-controlled Supply Chain areas and ensuring appropriate action taken for any deviation noted. Required/Preferred Education And Licenses Experience in a regulated operational environment, ideally within the pharmaceutical industry. Competent understanding of Quality Management system(s) Capability to provide leadership, support and clear direction to the team. Knowledge of a supply chain functions and disciplines. Demonstrates behaviours/attributes which encompass Jazz values and leads by example by support and coaching others. Builds and maintains positive working relationships with direct team and key stakeholders. The nature of this position requires a high level of self-motivation and exceptional commitment to the success of the team/department and the company as a whole. Attention to detail, ensuring accurate data is required when required. Excellent interpersonal and communication (verbal and written) skills. Flexibility to work in a fast-paced demanding environment with the ability to change direction and manage multiple tasks on a regular basis. A natural willingness to share ideas/information and assist colleagues to drive continuous improvement initiatives. Competent understanding of IT systems including complex business systems (ERP/eQMS etc) and MS office software. Qualifications gained in the pharmaceutical industry i.e. NVQ’s or similar.
